General Description of the Role (Brief):

The position holder will be responsible of the revision and preparation of quality reports and their timely submission to partners. He/ She will also ensure to contribute to Concept note development and support in the implementation of Iraq based projects.

Detailed Description of Assigned Responsibilities

Reporting and documentation: 60%

  • Prepare a master reporting schedule to all projects and make sure that all Project leads adhere to the deadlines.
  • Ensure the revision of all reports and improve their quality before submission to Head of Programs or relevant partner.
  • Collect and compile data from relevant departments and prepare quality, monthly, quarterly, and annual reports.
  • Work closely with M&E and Media units to produce quality Media documents to be shared with external partners such as Newsletters, Brochures, media reports, case studies.
  • Attend coordination meetings, prepare, and share meeting minutes.
  • Work closely with MEAL unit to ensure that Lessons learned are well captured and stored.

Program Quality and compliance: 10%.

  • Ensure that all projects have project management plans and tools in place (Procurement plans, Detailed Implementation plans, Recruitment plans, MEAL plan…
  • Ensure that Project leads are aware of the donors/partners specific rules and procedures.
  • Ensures that projects’ implementation is conducted in total compliance with donor/partner requirements.
  • Attend BVA and ITT meetings with Head of Programs, Project leads and relevant departments representatives and draft actions and follow up plans.
  • Coordinate with project leads and ensure that any project has a kickoff meeting before the actual start. Document and share the agreed upon action plans with relevant staff members and departments representatives.
  • Coordinate with Project leads and MEAL department to ensure Project closure processes are well followed and a lesson learned workshop is conducted at the end of each project.

Contribution to Business Development: 10%

  • Assist program teams in preparing Concept Notes and proposals.

Project Management: 20%

  • Position holder, as per the request of the Head of programs, will be responsible for the management and implementation of small projects and interventions in KRI and Iraq.
  • Position holder will be involved in conducting field visits to project sites as necessary.
  • The position holder will be required to execute other relevant tasks assigned by line manager.
