General scope of the position:

The scanning and archiving clerk will be responsible for:

  • Scanning of physical documents to produce digital copies for retention of the department records.
  • Maintaining the online database by uploading all relevant document through the appropriate channels.

 

Essential duties and responsibilities:

  • Scan and upload all related documents to the appropriate channels (Google Drive)
  • Ensure that hard-copied records are labelled and systemized correctly for easy access and retrieval.
  • Inspecting regularly quality and assure smooth functioning of document scanner.
  • Communicating concerns to technicians and maintaining coordination of movement of the file boxes.
  • Archiving back in the same order the documents that have been scanned and archive them in an order.
  • Reporting progress to the supervisor, after converting the paper records into digital copies and archiving them

 

Qualifications & Preferred Skills

Qualifications:

Education:

Bachelor’s degree in business is preferred or high School.

 

Work experience:

0-1 years’ work experience with an international NGO in Iraq in a similar position is preferred.

 

Languages:

Working Knowledge in English and Arabic.

Basic level of Kurdish would be an asset.

 

Knowledge :

MS Officer literacy (Word, Excel, Power Point)

General computer literacy (Windows, Email, and Google Drive)

A working knowledge of English.

Sound knowledge of document scanning, data entry and production

Sound knowledge in archiving paper documents

 

Personal qualities:

High confidentiality

Proactive and autonomous

Ability to work under pressure and as part of a team.

Ability to work with people from different backgrounds and nationalities.

Demonstrated attention to detail, ability to follow procedures.
