Overview Rutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC’s 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school.
Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.
Posting Summary Rutgers The State University is seeking a Secretary I within the Adult Partial Hospitalization Program of Rutgers University Behavioral Healthcare.
As the executive or senior level secretary, provides high level secretarial and administrative services for the Adult Partial Hospital and Outpatient Program. Coordinates the activities for assigned projects and programs.
Among the key duties of this position are the following:
  • Completes a variety of internal paperwork for the department, including travel and mileage reimbursement forms, general stores requests, check requests, rental subsidy vouchers, and service slips.
  • Prepares, completes and routes paperwork with 95-100% accuracy within established guidelines and time frames as evidenced by
    supervisor.
  • Prepares and maintains appropriate files of the above with 95-100% accuracy as indicated by staff, administrator and/or supervisor’s
    feedback.
  • Inputs and retrieves data and information stored in computer and databases and updates as required.
  • Maintains appropriate log sheets and records needed for efficient operation of Unit.
  • Compiles pertinent data and maintains accurate documentation as noted in records retained on Unit.
  • Completes comprehensive reports as directed within pre-established time frames as noted by supervisor.

Qualifications

Minimum Education and Experience
  • Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience required.
  • An additional year of experience is required in lieu of the secretarial program.
  • College credits may be substituted on a year-for-year basis for secretarial experience.
  • Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Proficiency in typing and word processing skills required. Microsoft Office experience required.
  • Good external and internal customer service skills.
Preferred Qualifications
  • Knowledge of Banner and procurement policies and procedures preferred.

Physical Demands and Work Environment PHYSICAL DEMANDS:
  • Moderate physical effort (lift/carry up to 50 pounds).
  • Walking throughout the program space throughout the day.
  • Frequently prolonged sitting and data entry.
  • Frequently talks and listens to people on the telephone, and intermittently walks, bends, stretches, pushes and pulls.

WORK ENVIRONMENT

  • Fast-paced work environment in a clean, well-lit, active setting.
  • Client presence in the program throughout the work day with client crisis occurring frequently.
  • Ongoing contact with patient population.

Immunization Requirements

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are vaccinated against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Rutgers University may require certain prospective employees to receive an updated (bivalent) vaccine dose.
