Responsibilities
Manages all financial data, forms and reports associated with
Seminole Clubs. Works closely with Seminole Clubs¿ officers
to file appropriate financial statements and maintain appropriate
status with the Internal Revenue Service. Responsible for
managing and administering all Seminole Clubs¿ scholarship
funds. Responsible for reinforcing a collaborative and
supportive relationship within and among alumni, the Alumni
Association, and other Direct Support Organizations within the
University. Upholds and exemplifies the operating practices
and mission of the Association and oversees the successful
implementation of all related functions.
Manages the dissemination, collection, and review of all
financial reports from the Seminole Clubs ensuring accurate
completion in a timely manner. Manages data and reports associated
with Seminole Club Leaders, Seminole Clubs, and the Seminole Club
network. Develops and maintains checklists and tracking documents
related to club financials. Oversees club systems in QuickBooks
Online software to ensure data integrity and accuracy of financial
information. Maintains QuickBooks Manual. Trains Seminole Clubs’
treasurers on appropriate QuickBooks procedures and financial best
practices. Prepare annual group exemption update to the Internal
Revenue Service. Oversees and coordinates updates to all financial
sections of the Seminole Club Handbook annually. Files tax returns
annually by required deadlines on behalf of the Seminole Clubs
and/or works with the external auditor to obtain their assistance
with filings. Maintains strong working relationships with FSU
Foundation accounting office and consultants on contact with the
Alumni Association for handling club financial matters as well as
representatives of the Internal Revenue Service to ensure Seminole
Club financial documents are submitted accurately and in a timely
manner.
Administers Seminole Club scholarships, both endowed and
non-endowed. Works closely with the FSU Foundation development
office to ensure all Seminole Club scholarship gift agreements are
in compliance with FSU Foundation policy. In collaboration with the
Director of Seminole Clubs, serves as the liaison to Seminole Club
leaders for all financial matters.
Organizes Seminole Club constituent data and ensures it is
incorporated into the FSU Foundation and Alumni Association
database. Contributes to the preparation of reports as necessary. A
driver’s license is required for this position as incumbent may be
required to represent the Alumni Association at various functions
and/or events. Protects confidential information.
Completes the batch process including committing batches to CRM
and filling out the daily Cash Rec spreadsheet with batches;
Completes the process of running the membership processor and
correcting memberships errors, specifically those memberships that
have not upgraded/downgraded correctly.
Assists with the implementation of activities, programming, and
events designed to create awareness, foster communication,
stimulate involvement and strengthen the connection between the
University and Alumni. Coordinates the planning, promotion and
execution of events associated with Alumni Association and
University Outreach including but not limited to serving as the
staff point of contact for Seminole Club Treasurers, efforts for
membership acquisition, special events, alumni outreach programs,
constituency groups, reunions and homecoming. On behalf of the
Director of Seminole Clubs, assists in the implementation of new
alumni programs by coordinating data pull, communication efforts,
correspondence, and related paperwork.
Qualifications
Bachelor’s degree in accounting or related area and two years
appropriate experience; or a high school diploma/equivalent and
experience equal to six years. (Note: post-high school education
can substitute for experience at the equivalent rate.)
