How can you make a difference?
The Senior Administrative Associate will report to the Admin. Officer, NOB and will be responsible for the management of the fleet of vehicles across Bangladesh Country Office. The incumbent will provide a strategic focus on managing the fleet in the most efficient and cost-effective way.
Summary of key functions/accountabilities:
Fleet Management:
- Ensure fleet optimization bringing in innovative initiatives to add value and bring more efficiency (car rental; usage of own cars; etc)
- Develop partnerships with sister agencies and others (carpooling; etc).
- Manage drivers (FTs and Contractors) and implement flexible working hours to reduce overtime; Manage overtime.
- Manage the fleet with proper SOP and work processes for maintenance and repairs.
- Ensure that PAs in Field Offices are properly trained in fleet management-related activities (e.g. VTS; online vehicle booking).
- Ensure vehicles are in good condition shape and that insurance; taxes etc. are paid on time.
- Maintain MOSS compliance (Fire Extinguisher, First Aid Box, Fire Blanket, Reflector Triangle, Umbrella, Torch, Water, and Light Food) of vehicles.
- Manage shuttle service and Transport pool to ensure proper support to the office.
- Ensure that drivers have the right level of training (e.g. Plan, design, and provide Advanced Safe Driver Training (ASDT) to all drivers).
- Manage relevant contracts (outsourced drivers; car rental; ev. shuttle services; fuel company; etc.).
- Ensure timely disposal of vehicles and manage leased vehicles.
- Ensure that PAs on the field have the right level of training and focus on decentralization of activities.
- Prepare timely reports for management.
Other activities:
- Manage budget and ensure ongoing monitoring activities for vehicle repair and maintenance
- Provide technical advice and support on AC; elevator and generators.
- Contribute to the Environmental Footprint and Accessibility Assessment Tool (EFAAT) exercise and other key analysis as requested by line of supervision.
To qualify as an advocate for every child you will have…
- Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
- A minimum of (7) seven years of relevant administrative or clerical work experience is required.
- A bachelor’s degree from a recognized academic institution in a relevant field may replace three years of related work experience. A master’s degree may replace an additional two years.
- Experience in Fleet management is required.
- Experience in reporting on Key Performance Indicators would be an added advantage.
- Knowledge of Environmental Footprint and Accessibility Assessment Tool (EFAAT) is considered an asset.
- Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

Should you be selected for a position with UNICEF, you either must be inoculated as required or receive a medical exemption from the relevant department of the UN. Otherwise, the selection will be canceled.
Remarks:
As per Article 101, paragraph 3, of the Charter of the United Nations, the paramount consideration in the employment of the staff is the necessity of securing the highest standards of efficiency, competence, and integrity.
The selected applicant will have an initial two (2) year fixed-term contract, with the possibility of extension, subject to satisfactory performance.
