The Infrastructure and Environment Sector (INE) Front Office provides technical and operational support on a variety of areas within our Sector composed by the Infrastructure Division (INE), Energy Division (ENE), Transport Division (TSP), Water & Sanitation Division (WSA) and Private Public Program Unit (PPP) such as: monitoring of the department”s work program, pipeline, portfolio, operational and knowledge indicators; managing the preparation and execution of the budget; providing statistical reporting and presentations on different operational and corporate issues; preparing and administrating consulting contracts as well as managing human resources processes, technical cooperation issues, among other activities.

About this position

We are looking for an energetic individual with solid expertise in the areas of administration coordination to provide high quality services in a multi-cultural, multilingual environment.

You will work under the supervision of the Sector Manager (INE/INE) as a proactive partner, who will optimize the manager”s calendar, anticipate needs, streamlining communication, and contributing to decision-making by identifying opportunities, solving problems, and analyzing data to inform strategy.

What you’ll do

Administrative Support
• Coordinate Manager agenda prioritizing demands in coordination with other divisions in our Sector and other Departments in the Bank as necessary.
• Register and route correspondence received, follow-up on action items, handle prompt responses to requests.
• Coordinate internal meetings with other areas of the Bank and provide administrative and logistical support in the planning, coordination of interdepartmental meetings, seminars, conferences and other events Assemble, review, and organize information, documentation, talking points for meetings and presentations, including Bank Committee meetings.
• Provide logistical support in the organization of external events, coordinating activities with different areas of the Bank.
• Prepare terms of references for selection processes of firms and individual consultants for the front office.
• Responsible for the initiation of contract requests for the front office.
• Responsible for preparing and managing all travel and statement of expenses requests for INE Sector Manager to ensure all necessary travel documentation are obtained and prepared in a timely manner.

Strategic Support
• Establish centralized system for managing communications and schedules, enhancing overall operational efficiency.
• Gather information, analyze trends, and derive insights that lead to informed decisions and process improvements.
• Oversee specific projects assigned by the manager or the RPA of the Sector and coordinate with different departments to ensure collaborative efforts toward strategic goals.
• Proactively expand knowledge in Bank systems and policies, and network.

What you”ll need

  • Education: bachelor’s degree in business administration, economics, information systems or related fields.
  • Experience: a minimum of 2 years of relevant experience and demonstrated capacity to grow and acquire new responsibilities.
  • Languages: Proficiency in English and Spanish, spoken and written is required.

Requirements

  • Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

Type of contract and duration

International staff contract, 36 months initially, renewable upon mutual agreement.
