Alumni Relations and Development (ARD) engages alumni (~190k), current students, parents, and friends of the University through intellectual, professional, and social activities on campus, around the world and online. ARD raises $600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.

Job Summary
 

This position uses best practices and knowledge of non-technical (not information technology or construction related) projects from conception to completion. Assembles teams and develops detailed work plans, schedules, project estimates, resource plans, and status reports while being the point of contact for those projects.

Responsibilities

  • Collaborates with the Information Engagement team to build and maintain a campaign knowledge base containing resources and information that help staff to maintain an up-to-date understanding of campaign priorities, fundraising policy, campaign best practices, and other relevant topics.
  • Facilitates the maintenance of a standard suite of campaign reports and slides that can be used by ARD’s leaders to report on campaign progress to a wide array of audiences.
  • Assists in tracking campaign budget and administering consulting contracts that support campaign efforts.
  • Tracks campaign related data in ARD’s Salesforce database, Phoenix, including information about gift purposes, campaign themes and priorities, and prospect interests.
  • Develops and maintains a system for tracking and reporting on the status and progress of peer fundraising campaigns, and their trends and attributes. Helps leaders maintain a consistent understanding of the landscape of fundraising campaigns in higher education.
  • Supports campaign related councils, working groups, and committees by suggesting discussion items, coordinating meeting materials, scheduling meetings, and tracking meeting outcomes.
  • Develops detailed work plans, schedules, project estimates, resource plans, and status reports. Assembles and leads a project team, assigns individual responsibilities, identifies appropriate resources needed, and develops schedules to ensure timely completion of projects.
  • Partners with colleagues to launch a campaign education initiative for ARD staff. Leads the development and maintenance of a campaign training module designed to introduce new ARD staff and partners to the campaign.
  • Tracks progress, conducts analysis, and prepares for and facilitates campaign-related meetings.
  • Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions and with an eye towards broadly diversifying the advancement profession.
  • Acts as a resource for a project team and provides analytical guidance. Interprets complex project issues and provides analytical guidance to a project team.
  • Coordinates the successful integration of vendor tasks and tracks and reviews vendor deliverables.
  • Performs other related work as needed.

Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.


Certifications:

Experience:

  • Managing large-scale multi-year projects.

Technical Skills or Knowledge:

  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development including Phoenix, the University’s donor relationship management system, and the Microsoft Windows environment.

Working Conditions

  • This position has a hybrid work schedule which includes weekly in office presence.
  • Standard office environment.
  • Travel to campus and/or non-campus locations for University business.
  • Work evenings and weekends as needed.
  • This position is located in Hyde Park at 5235 South Harper Court.
