The European Bank for Reconstruction and Development (EBRD) fosters the transition towards open market-oriented economies and promotes private and entrepreneurial initiatives in emerging Europe and beyond.
As the Senior Executive Assistant/Admin Manager, you will play a pivotal role in ensuring the smooth operation of the Office of the Managing Director (MD) within EBRD’s Operations and Services Management (OSM) department. You will oversee administrative processes, manage a small team, and provide crucial support to the MD and the wider OSM department, which consists of approximately 150 staff members.
Responsibilities
Staff Management:
As the Senior Executive Assistant/Admin Manager, you will play a pivotal role in ensuring the smooth operation of the Office of the Managing Director (MD) within EBRD’s Operations and Services Management (OSM) department. You will oversee administrative processes, manage a small team, and provide crucial support to the MD and the wider OSM department, which consists of approximately 150 staff members.
Responsibilities
Staff Management:
- Allocate, coordinate, and supervise tasks for the administrative team.
- Conduct performance assessments and provide ongoing training and development opportunities.
- Liaise with HR on staff-related matters.
- Identify opportunities to improve departmental processes and propose action plans.
Budget Oversight:
- Manage OSM’s budget execution, ensuring compliance with Bank policies.
- Maintain routine budgetary functions in the absence of the budget officer.
Administrative Responsibilities:
- Provide comprehensive administrative support to the MD, including diary and email management, meeting coordination, and travel arrangements.
- Prepare documents such as presentations, correspondence, and reports.
- Facilitate onboarding and offboarding processes for OSM staff.
- Review travel expense reports and other expenditures for adherence to policy.
Strategic:
- Act as an advisor and prepare briefing notes as required.
- Help drive engagement across the function.
- Regular engagement with Directors across the organization to drive simplicity and improvements to administrative processes.
Required Skills and Qualifications:
- Relevant qualification in administration management preferred.
- Proven experience in team management and motivation.
- Exceptional organizational and supervisory skills.
- Ability to prioritize tasks and thrive in a fast-paced environment.
- Strong interpersonal and communication skills.
- Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
- Knowledge of Tableau and/or Office 365 applications advantageous.
- Familiarity with SAP desirable but not essential.
