Role & Responsibilities

The purpose of the Senior Application Administrator is to: 1. Support the Medair in analysing, exploring and investigating the organizational processes and systems, by designing, transforming and managing Medair’s application landscape, to improve, implement and maintain systems and to address changes within Medair through technology. 2. Solve technical issues, user administration (including role concepts) and systems configuration. 3. Provide technical administration and improvements for the new Unit4 ERPx, FP&A, Excel Tools and other applications under the responsibility of Support Systems and Integration Team (SSIT).

 

Project Overview

Medair’s Global Support Office (GSO) provides operational guidance for country programmes, along with both technical and compassionate support for our relief workers. Within our headquarters and affiliate offices, we are also responsible for promoting the work of Medair to the world, raising and manage the funds needed to run our life-saving and sustaining programmes, and to recruit international and GSO staff. Global ITS provides Medair with centralised governance, strategy, direction, innovation and support in the use of the information technologies that amplify people to people strategy. Global ITS provides a centralised approach to ensure cost efficiency and integration, including country programs in strategic design of systems, and delivers services locally where practical to ensure that day-to-day needs of our GSO and country program colleagues are met. The Support Systems Integration Team delivers on the strategic direction for our Support Function Systems primarily located at the GSO – including HR, Finance, Logistics.

ASAP. Full-time open-ended contract.

 

Key Activity Areas

Functional Analysis (30%)

  • Working closely with the business owners in each functional area, spearhead and provide Business Process analysis and Business Requirements gathering as a formal discipline. Lead workshops across functions within Medair. This role will primarily focus on Finance functions.
  • Proactively identify, analyze, and document process gaps/improvement opportunities, including governance across functional areas such as Finance, HR and Logistics.
  • Proactively engage with department leaders and users to understand how data-driven changes to process, products, services, software, and hardware can improve efficiencies and add value.
  • Identify and prioritise technical and functional requirements, obtaining feedback and gaining approval to implement changes.
  • Maximise the strategic use of applications/systems used by Medair.
  • Manage the product backlog and present sprint proposals and reviews to different stakeholders.
  • Documents business requirements and creates detailed functional/technical system specifications.
  • Be part of internal and cross-cutting projects to ensure the alignment of business processes and solutions.

Application Administration (60%)

Applications Administration

  • Primarily become technically responsible for the Unit 4 ERPX cloud-based software, Unit 4 FP&A, and associated Excel tools. Secondarily, provide back up support for Sage People HR, Wigii platform.
  • Translate business requirements into logical, component-based technical designs.
  • Perform administration / configuration / data migration / integration duties on select systems in accordance with project objectives.
  • Keep the Security, role, data matrixes up-to-date.
  • Create and design technical specification documentation.
  • Drive resolution of issues that come up during the deployment phase of projects.
  • Implement or oversee implementation, coordinating tests and observing initiation of system to validate performance.

Data Quality Management

  • Ensure accuracy of input data, output data and data migration
  • Evaluate issue patterns and their respective operational functions to plan and recommend process improvements and system upgrades.

User Support and Training

  • Provide second-level support to users
  • Stay up to date: use existing training, (community) resources, and develop skills and knowledge about the latest features. Train users accordingly.

Vendor Management (10%)

  • Work with contracted service providers and other technical groups to resolve system issues and/or implement new features.

Innovation/changes

  • This position requires an awareness of current developments in technology, methodologies (Agile/Scrum, etc) and the ability to identify gaps in process and propose improvements within the systems workflow or business process.

Qualifications

  • University degree in a relevant subject such as Management / Development Studies / Business Administration or in a relevant technical subject.
  • Strong working knowledge of English and French (spoken and written).

 

 Experience

  • 5 years post-qualification experience in a management position.
  • 3 years post-qualification experience in a complex humanitarian emergency.
  • 3 years overseas work experience, preferably with a humanitarian NGO.
  • Computer literate with good working knowledge of Microsoft Excel, Word and Outlook.
  • Experience in the design, monitoring of implementation and evaluation of humanitarian programmes.
  • Experience in dealing with donors and government officials.
  • Knowledge of Humanitarian Essentials, Sphere and HAP Standards and humanitarian guidelines.
  • Advanced planning, assessment and analytical skills. Good report, negotiation and proposal writing skills.
  • Advanced leadership and project management skills. Experience of representation at national and local levels.
