Position Overview

Reporting to the Director of Development and working closely
with senior staff across the institution, the Senior Grants Officer
manages a portfolio of institutional prospects and proposals that
generate approximately one quarter ($1.5M) of the museum’s
contributed income each year. This position builds strong and
effective relationships, internally and externally, as a champion
of BAMPFA’s mission, vision, values, and priorities.

As an integral member of BAMPFA’s development team, the Senior
Grants Officer is responsible for designing and delivering a
strategic multiyear program of institutional grant support to
advance BAMPFA’s mission, vision, and institutional priorities.
Reporting to the Director of Development, this position is
responsible for achieving annual contributed income goals of
approximately $1.5M annually from foundation, government, and
corporate sources.

The Senior Grants Officer actively identifies, cultivates,
solicits, and stewards a portfolio of foundation and government
prospects that have the capacity to give $50,000 or more, including
preeminent Bay Area and national foundations. The position may also
manage a small number of corporate and family foundation prospects.
To meet annual fundraising targets, the Senior Grants Officer works
in close collaboration with BAMPFA’s curatorial, program, finance,
and development teams to develop compelling opportunities for
philanthropic partnership and impact.

This position serves as the primary liaison between BAMPFA and
the university’s Sponsored Projects Office (SPO), and has
significant responsibility for understanding and adhering to all
university policies and processes related to proposal submission,
award acceptance, and grant reporting. This position also works
closely with the Development Associate, Grants and Major Gifts in
support of BAMPFA’s overall institutional fundraising goals.

  Responsibilities

  • Proposal Development (40%): Develop clear
    and compelling funding proposals that link funder priorities with
    BAMPFA goals. Ensures that written, visual, and financial materials
    meet funder criteria, are persuasive, accurate, well-targeted, and
    meet funder deadlines. Sets clear processes and timelines for
    internal review, and ensures compliance with all internal campus
    policies and procedures. Through solicitations of corporate,
    government, and foundation prospects, meets or exceeds annual
    fundraising goals of approximately $1.5 million.
  • Relationship Building (20%): Builds
    strong and effective relationships with past, current, and
    prospective institutional funders through face-to-face meetings,
    phone and Zoom calls, written correspondence, and other in-person
    activities. Works closely with program officers, foundation staff,
    board members, and corporate contacts to strengthen pride,
    affinity, and investment in BAMPFA. Facilitates personal
    introductions and staffs BAMPFA’s Executive Director and curators
    on visits with foundation representatives.
  • Pipeline Management (20%): Manages a
    comprehensive multiyear pipeline of institutional proposals,
    awards, and reports. Works closely with Development Director and
    finance office on quarterly, annual, and multiyear financial
    projections. Works closely with curators, colleagues, board
    members, and other stakeholders to identify funding opportunities
    and prospective donors for BAMPFA’s programs, film series,
    exhibitions, and strategic initiatives. Coordinates internal
    prospect clearance and compliance processes with campus departments
    (SPO and UDAR).
  • Team Leadership (10%): Provides routine
    assignments, direction, coaching, and guidance to the Development
    Associate, Grants and Major Gifts (a position that also reports to
    the Development Director). Assigns and reviews tasks to maximize
    efficiency and productivity across the full portfolio of grant
    activity. Delegates routine tasks to maximize highest value
    frontline activity.
  • Finance Office Coordination (10%): Works
    closely with the museum’s finance office to ensure that all
    restricted funds and new awards are received, allocated, tracked,
    and reported on by BAMPFA, in compliance with grant agreements and
    with applicable federal regulations and university policies.
    Advises on approved use of funds as necessary and facilitates
    communications and requests to funders during the award management
    process. Makes requests for funder-specific financial data and
    reports. Maintains BAMPFA’s library of approved financial documents
    for external stakeholders.

Required Qualifications

  • Proven history of writing effective fundraising proposals with
    a strong record of success, especially in the area of federal
    government grants.
  • Thorough knowledge and understanding of fundraising,
    grant-writing, and donor-relations concepts, principles,
    techniques, procedures, and practices.
  • Outstanding ability to set, articulate, and adhere to project
    timelines and processes in a collaborative work environment.
  • Highly developed attention to detail, including nuances of
    style and grammar, accuracy of financial data, and rigorous
    compliance with internal and external requirements, rules, and
    regulations.
  • Ability to create professional, visually appealing proposals
    and presentations using standard Office, Adobe, and Google Suite
    software.
  • Thorough working knowledge (and/or the ability to quickly
    develop such knowledge) of BAMPFA and UC Berkeley, including its
    vision, mission, goals, achievements, and infrastructure.
  • Thorough analytical and critical thinking skills, including
    skills in creative and effective decision-making and problem
    identification, avoidance, and resolution.
  • Ability to maintain strict confidentiality.
  • Proven ability to work successfully on multiple projects and
    manage time effectively.

Preferred Qualifications

  • Outstanding written, oral, visual, and interpersonal
    communication skills, including political acumen, to build and
    maintain effective working relationships at all organizational
    levels and with outside constituencies.
  • Past experience working successfully as a grant writer in an
    art and/or film organization.

Education and Training

Bachelor’s degree in a related area and / or equivalent
experience / training.

This is an exempt, monthly paid position, eligible for full UC
