About the Role

The main objective of the role is to manage the administrative requirements of the team and maximize its productivity and efficiency. The role is responsible for enabling the most efficient yet comprehensive outcomes and informed decisions and identifying and escalating potential risks to various team activities.

Key Duties and Responsibilities

  • Evaluate the needs of the broader team from an administrative perspective, identify the most efficient and effective way of meeting these needs and provide guidance to others in following established processes and procedures consistently.
  • Provide both a high-level and detailed overview of administrative activity to other members of the team, ensuring that they are aware of required action and/or follow-up.
  • Oversee all administrative procedures within the team and conduct regular reviews to ensure that these remain aligned with team deliverables, policies, standards and needs.
  • Determine the appropriate approaches for the provision of high-quality, timely service delivery across MSI’s global portfolio of corporate entities and branch offices, responding to diverse expectations and requirements.
  • Advise on optimal approaches for addressing the administrative needs of the team and any potential gaps or risks to team activities. Proactively identify system/process improvements.
  • Identify the needs of colleagues within the team to create an enabling environment, in which processes run smoothly and efficiently, systems function as needed and administrative tasks such as arranging travel, payments and meetings are completed proactively.
  • Provide clear, comprehensive advice to stakeholders and colleagues regarding the established policies, processes and procedures relating to general governance, fraud, safeguarding and the proper management of all other key issues falling within the remit of the team.
  • Anticipate key administrative timelines and deadlines and ensure that these can be met without compromising quality of delivery. Communicate regularly with colleagues and stakeholders to ensure a broad awareness of key dates/time frames and flag any risks to these being adhered to.
  • Organise, online, all documentation relating to team activity, including the creation, storage, review and sharing of key legal documents such as resignation letters, notices of board meetings and proxies.
  • Sustain a consistent, efficient approach to the management of all administrative activities within the team. Escalate any issues promptly and apply expert knowledge around effective administrative/systems management to inform others.

Key Knowledge and Experience

To perform this role, it is essential that you have the following skills and experience:

  • Degree educated/company secretarial qualification/recognised legal secretarial qualification or qualified by significant experience
  • Substantial demonstrable experience in a Legal Assistant, Paralegal, Legal secretarial or administrative function, with a high degree of organization, logic and order, a proactive approach to process improvement and strong problem-solving abilities.
  • Advanced demonstrable skill in using the full Microsoft Office suite, particularly Microsoft Word, Outlook, Excel and PowerPoint
  • Project management experience
  • Demonstrable fast typing skills (60 WPM or above)
  • Excellent written and verbal communication skills

Location: London Support Office (hybrid working)

Full-time: 35 hours per week

Contract type: Permanent

Salary: £34,200 – £40,000 per annum depending on experience + Discretionary Bonus & Benefits.
