The Senior Legal Operations Assistant (Human Resources) will provide technical and operational support to the BPOD Legal Team that is in charge of ADB’s employee relations, including performance management, grievances, and disciplinary actions. The incumbent will report to the designated International Staff.

- Assist the Legal team by preparing case materials, monitoring the Legal team’s inbox, and liaising with stakeholders throughout ADB.
- Support the Legal team through research and gathering of historical/background information.
- Serve as the BPOD teams’ quality controller for the documentary outputs and processes, ensuring accuracy, completeness, and compliance with ADB’s internal procedures and rules on style and usage.
- Arrange and coordinate meetings, including distribution of relevant materials.
Records management:
- Apply latest office technology and taxonomies to organize and maintain the team’s record management.
- Assist in organizing and maintaining document filing systems, including the Administrative Order SharePoint, sensitive and confidential employee relations case files, and the Legal team’s SharePoint sites ensuring timely, accurate and complete documentation.
- Ensure confidential handling of these records and documents.
Report Preparation:
- Maintain, update, and submit regular reports on the legal team’s activities, including list of cases and priorities.
- Assist the legal team to ensure accuracy of legal reports as tools to monitor and report on employee relations, performance, grievance, or disciplinary cases.
Other Operational support:
- Assist in contract administration in the ADB’s Consultant Management System, involving a full cycle of engagement of consultant recruitment, contract variation, extension, or termination of contracts.
- Assist in general administrative functions of BPOD Legal Team.
- Perform other functions as may be assigned and reflected in the incumbent’s workplan.
Qualifications:

- Bachelor’s degree, preferably major in Human Resources, Law, Public or Business Administration and Management, and Social Sciences.
- At least 5 years of relevant professional experience in employee relations, legal or human resource management.
- Excellent written and verbal communication skills in English
- Proficiency and excellent agility of relevant and latest digital tools relevant to the responsibilities.
- Proven ability to build and sustain effective work relationships within teams and with stakeholders including the departmental management team.
- Good analytical and problem-solving skills with attention to details.
- Ability to set priorities and coordinate usually under tight timeframes.
- Ability to handle sensitive information with confidentiality.
