The Department of Ecology and Evolutionary Biology (EEB) at Princeton University is seeking a Senior Manager of Finance and Administration. EEB is unique in its broad and interdisciplinary perspective, where faculty members and students join together to unravel the mysteries of how animals, plants, and microbes function, how they interact, and how they evolve in a changing world. These activities ultimately shape public health, biodiversity conservation, and environmental policy.
Under the broad direction of the Chair, the Senior Manager of Finance and Administration, plans, oversees, and directs the administrative and financial affairs of the Department. S/he works closely with the Chair to execute policy and strategic direction for the Department and leads short and long-term planning for department operations and activities. The senior manager synthesizes and distills information critical to enabling the Chair to make effective and timely decisions that optimize the department’s teaching, and research. The senior manager reports directly to the EEB chair, with a secondary reporting relationship to the Director of Academic Administration.
EEB has a robust community of 22 faculty, 60 research staff and visitors, 16 administrative and technical staff, 55 graduate students, and 75 undergraduate concentrators. EEB has many scholarly intersections the School for Public and International Affairs, Princeton Neuroscience Institute, Lewis Sigler Institute, and High Meadows Environmental Institute. It also offers EEB interdisciplinary initiatives and other resources with the Department of Geosciences, Princeton Institute of International Relations, and the School of Engineering and Applied Sciences.
Personnel management
The senior manager supervises the hiring, performance reviews, merit increase process, performance improvement, reclassifications, staff development, award nominations and terminations of 12 administrative staff and 4 technical staff. Mentor, guide and empower staff in EEB’s mission and vision. Inspire staff to promote critical thinking and transparency to cultivate confident and autonomous employees.
Budget and financial management
The senior manager develops the administrative budget for the department in collaboration with the chair. The senior manager is responsible for the careful and appropriate management of the administrative allowance and a wide variety of endowed and restricted funds, as well as pre-award and post-award administration of grants and sponsored research. The senior manager monitors spending and provides regular and timely analysis and projections of available funds to the chair.
Academic management
The senior manager supervises the administration of departmental activities, ensuring that the department meets all requirements for the offices of the Dean of the Faculty, Registrar, Dean of the College, Dean for Research, and the Graduate School. The senior manager knows the rules and procedures of each of these offices to ensure their alignment with departmental processes. The senior manager provides support for faculty appointments, reappointments and promotions, etc. The senior manager oversees the departmental operation of the graduate and undergraduate programs within EEB’s international teaching at Mpala, Kenya, and the Smithsonian Tropical Research Institute, Panama.
Facilities management
The senior manager oversees the management of all EEB facilities, including 16 research labs, and several green house spaces. Position also oversees space allocations, laboratory renovations, etc. This position also acts as the primary point person for planning large scale facilities moves.
Policy and Compliance
The senior manager is responsible for understanding and communicating all university policies to EEB faculty, staff and students. The senior manager takes the lead on implementing policies and regulatory compliance within the department, including laboratory safety measures. The senior manager ensures that core research facilities are managed appropriately and according to federal guidelines.
Essential Qualifications
– Bachelor’s degree or equivalent; plus 7 years relevant work experience.
– Demonstrated experience in budget management and oversight of financial operations.
– Excellent organizational skills and ability to manage multiple priorities; the ability to work independently and make sound judgments without close day-to-day supervision.
– Ability to anticipate and initiate appropriate action in support of the Chair and department faculty
– Excellent interpersonal skills, as well as superior oral and written communication skills.
– Demonstrated administrative leadership, problem-solving and decision-making skills.
– Proficiency in desktop computing tools and software, including Outlook, MS Office.
– Demonstrated tact, diplomacy, and discretion; appreciation for the values of higher education and sensitivity to the nuances of academic culture.
Preferred Qualifications
-Advanced degree preferred.
-Proficiency in University administrative applications and enterprise systems.
-Experience in higher education administration or non-profit background.
-Experience is space management and laboratory/office renovations.
