Job Summary

The Senior Program Manager, NIEHS Center is responsible for Center administrative oversight including administrative, financial,communications, and regulatory management in collaboration with the center director. This role will help determine needs, establish priorities, and remedy gaps within Center operations. This role will also strengthen the foundation of the NIEHS Center’s Community Engagement Core (CEC) community and provide agile and specialized support to add capacity to core staff that will strengthen community relations and accelerate the pace of CEC engagement with local communities.

This role will also bridge the NIEHS Center and institutional communities, aid in the development of new programs, and leverage existing solutions and seek out new ones.

Position Description

Duties and responsibilities include, but are not limited to, the following:

Administrative:

  • Manage Center administration, operations and initiatives and liaise with the Center leadership (Director, Deputy Director, Executive Committee) to ensure the direction of the Center is being realized and keep leadership abreast of operations.
  • Supervise different contributors to the Center activities such as additional staff who help with communications projects, community activities, and related activities.
  • Work with University administration, NIEHS, and external collaborators to ensure that all deliverables are met and timelines achieved.
  • Oversee Center compliance issues around data-sharing and reporting to make sure all requirements are met.
  • Oversee tracking and management of Center Membership and tracking center publications to ensure all reporting and other requirements are met.
  • Administer monthly Executive Committee meetings and P30 Center Bimonthly Meeting for Administrators Support with management and tracking of Pilot Projects and Facility Access Funds including records of awarded funds and associated products.
  • Administer Community Action Funds in cooperation with the Center Grants Administrator: Working with CEC to get projects funded, funds dispersed. Maintaining records of awarded funds and updates.
  • Work with various groups to plan colloquium/symposia series, 4th Weds Center Research Presentations, Specific Aims Review Sessions, SPARC sessions, etc.
  • Oversee additional activities in support of the CEC Prepare RPPR reports and other NIH-required documents, and ensure all timeline milestones are met.

Communications:

  • Manage day-to-day operations of center communications and develop leadership vision around communications to promote the work of the center.
  • Supervise staff in addressing communications matters including but not limited to:  Maintain Twitter/X account, Bimonthly E-Newsletter, Communications for all speaker series and special talks, blog posts, Center website, school-wide communications initiatives
  • Oversee analytics for social media and website engagement

Event Planning:

  • Manage logistics for all speaker series and special engagements including travel, expense management, itinerary planning, and lead planning efforts for annual retreat. Coordinate with various vendors in advance and on the day of the retreat.
  • Manage invitees/reg list

PLEASE NOTE: This position has a term appointment of one year from the date of hire with the possibility for extension.

PLEASE NOTE: Shortlisted candidates will be required to submit writing samples.

PLEASE NOTE: The National Institutes of Environmental Health Sciences holds an annual meeting and travel for the 3-day meeting is required.

Basic Qualifications

  • Bachelor’s Degree or equivalent experience required
  • 5+ years of related experience required

Additional Qualifications and Skills

The following job-specific skills and competencies are preferred:

  • Master’s degree strongly preferred, PhD degree a plus
  • Experience in program management/oversight and communications, specifically in an academic setting

  • Experience with WordPress, the Microsoft Office Suite (including PowerPoint), Twitter, and Access databases (including database development)

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

coordinated set of resources and facilities supporting environmental health research and training activities throughout the Boston area. Located at the Harvard T.H.
