Context/Reporting line:

Under the overall supervision of the Senior Programme Coordinator (Peacebuilding and Stabilization), and the direct supervision of the Project Officer (CCCM), the incumbent will perform the following responsibilities.

 

Core Functions / Responsibilities

  1. Conduct field missions in intervention locations to assist the field teams and monitor the implementation of activities related to Non-Food Items (NFIs), restricted and unrestricted cash and voucher programmes. Provide feedback and suggestions for improvement and enhancement of activities based on field missions.
  2. Maintain close communication with field teams to be able to provide technical and non-technical solutions to challenges faced by those teams. Respond to complex information requests and inquiries from field staff; set up and maintain files/records; organize meetings, workshops, and training sessions as needed.
  3. Coordinate with procurement and logistics units to ensure timely delivery, storage, and dispatch of Kits.
  4. Monitor warehouse inventories and prepare distribution plans based on needs and availability.
  5. Provide specialized assistance with all administrative, financial, and reporting aspects of the implementation of projects, formal and informal site responses, including but not limited to assisting with procurement/financial and logistic procedures, CBI program, monitoring project implementation, and drafting written reports.
  6. Assist the PSD Project Officer, Project Assistant (IM), and the Information Management Unit in organizing and maintaining the project’s database management, field staff correspondence, and reports related to project activities.
  7. Serve as the unit focal point for CASH-based Interventions (CBI), submit payment requests with required justification and supporting documents to relevant IOM units, and follow up on the payment process in consultation with the Project Officer and field teams.
  8. Prepare and submit payment requests with required justification documents to relevant IOM units, follow up on the payment process, and report any delays to the Project Officer.
  9. Maintain attendance records of the field staff and send them to HR monthly.
  10. Any other activities as assigned.
