The President’s Office works in close collaboration with other departments to support the development and implementation of IRC’s strategy; organizational performance and risk management; private and public advocacy and communications; and fundraising.
We are looking for an organized, thorough, proactive, and collaborative project manager to coordinate strategic projects and initiatives in the President’s Office. As Senior Project Coordinator, you will partner with colleagues across the organization to drive high-profile events and trips for the President/CEO to successful completion; draft project scopes, objectives, and timelines; support clear, consistent, and transparent communications across the organization; and contribute to a collaborative, open, and engaged team culture. This role is critical to ensuring the President/CEO is effectively prepared and briefed for high-profile engagements.

Project Management

• Own the project management of conferences and country program visits for the President/CEO, engaging key leaders across the organization in scoping, gathering inputs, etc.

• Provide clear and concrete instructions to team members to ensure clarity of project ambitions and actions; track progress and results; review outputs and provide constructive feedback.

• Provide written updates on project progress for visibility.

• Identify potential challenges and establish strategies to minimize risks.

• Lead the development of project workplans and timelines through detailed processes and tracking systems.

• Coordinate the establishment of roles and responsibilities with project collaborators and partners.

• Develop and implement exercises and activities for cohesion, reflection, and continuous improvement, including kickoffs, retrospectives, assessments, and reviews.

• Identify action items from relevant meetings and events for follow-up and track their progress and completion.

Leadership Board Management

• Own Leadership Board Meeting logistics from start to finish. This includes soliciting and scheduling relevant topics; working with the Senior Director, Policy & Planning to prioritize topics; providing prep instructions to presenting teams, etc.

• Ensure the Leadership Board calendar and meeting invitations are up to date.

• Attend, set up, and take notes during Leadership Board meetings, as requested.

Leadership Support

• Support President’s Office team members in organizing and scheduling meetings and events with internal and external partners, as needed.

• Support the Senior Director, Policy & Planning with administrative tasks (e.g., hiring, scheduling, etc.) as needed.

• Liaise with team members across the organization to ensure the President/CEO receives timely briefings/materials in advance of engagements.

Knowledge Management

• Build and deploy efficient, light touch systems for collecting and organizing information from a range of actors.

• Develop and maintain up-to-date file folder structures

• Conduct desk research; collate and synthesize information, as requested.

This position will report to the Advisor, Policy & Planning and work closely with the Senior Director, Policy & Planning, and other team members within the President’s Office and across the organization.

Requirements

• Proven track record to coordinate large-scale, cross-functional projects, with at least 5 years of demonstrated project management experience.

• Excellent oral and written communication skills and fluency in English is required.

• Strong proofreading skills.

• Ability to convey information (both visually and in writing) in compelling and easy-to-understand formats.

• Outstanding interpersonal skills: the ability to effectively collaborate closely with and motivate a variety of people. This includes senior leadership, in a multi-cultural environment and across various time zones.

• Flexible work attitude, proactive and demonstrated creativity and problem-solving ability with minimal guidance.

• Familiarity and experience with project management software tools, methodologies and standard processes.

• High level of proficiency with the Google suite and MS Office (Word, Outlook, Excel, Powerpoint)

• Outstanding attention to detail and organizational skills are required.

• Ability to be flexible, work well under pressure, and handle competing priorities in a fast-paced environment, sticking to deadlines and following through.

• Experience working in an international organization with a dispersed workforce an advantage.

• Experience in humanitarian setting or development contexts a plus.

Compensation:

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.

The IRC offers a comprehensive and highly competitive set of benefits. All US employees are eligible for sick time, a 403b retirement savings plans: up to 4.5% immediately vested matching contribution, plus an 3-7% additional IRC contribution, and an Employee Assistance Program which is available to our staff and their families to support in times of crisis and mental health struggles.

In addition, full-time employees are eligible for 10 US paid holidays, 20-25 paid time off days, disability & life insurance, medical, dental, and vision insurance (employee contribution starting at $135, $7, and $5 per month respectively) and FSA for healthcare, childcare, and commuter costs. Part-time employees are eligible for a proportionate amount of paid time off. These additional benefits apply to employees who work at least 6 months within a 12 month time period.
