In February 2022, Helix was acquired by Hines marking an exciting new chapter to further propel our property management offering in the UK and customer centric approach. Helix has a long-standing relationship with Hines over the past ten years, with Helix providing property management services across the majority of properties in the Hines UK portfolio including: 20 Old Bailey, 7 Soho Square and Atlas House in London, alongside all of the Hines European Core Fund, Hines European Value Fund and Hines Global Income Trust assets.Helix continues to deliver an above market service to its existing client base, operating from its central London office. Helix manages all commercial asset types nationwide, but with a focus on prime central London offices, accounting for 70% of their portfolio. Operating under one roof the surveying, facilities management and finance functions work closely and collaboratively together. Everyone works in an open plan environment which cultivates a relaxed and fun working atmosphere, openness with colleagues at every level and in close proximity to the Hines offices. Responsibilities:You will be responsible for the administration and control of the service charges arising on our property portfolios. You will be required to work closely with the respective Property Manager, Building and Facilities Managers to provide an efficient and timely reconciliation of the service charges applicable to the various properties owned or managed by us. You will also be required to assist the property client accountants in their day-to-day work.
- Manage a portfolio of Service Charge properties
- Monthly Cash Reconciliations
- Preparation of Service Charge year-end accounts including invoice collation, income and expenditure analysis, journals and accruals/prepayments
- Managing Service Charge cashflow
- Reconcile demised utility recharges
- Liaise with property managers, auditors and clients as required in order to gain approval of service charge accounts
- Assist property managers in preparation and management of service charge budgets to ensure RICS deadlines are met
- Input budgets onto the accounting system
- Assist property managers and other colleagues with accounts queries
- Implementing new clients and properties onto the accounting system, ensuring a smooth and correct handover takes place
- Respond to queries in a timely manner
- Any ad-hoc tasks required
- Act within the authority delegated by Helix Property.
- As requested, to undertake any other duties necessary in the interest of the smooth and efficient running of the portfolio and the business.
- Ensure all duties and responsibilities are executed to the industry’s ‘Best Practice Standards’ and best practice at all times.
- To be available out of ‘normal’ working hours and at short notice if the needs of the company or the portfolio so require.
Qualifications:Minimum Requirements include:
- Previous experience with service charge
- Previous experience with a property accounting system
- Previous experience with Microsoft (Excel, word, MS outlook)
- Knowledge of Tramps/Bluebox
- Strong communication skills, both verbal and written
- Ability to work alone or as part of a team
- High level of organisational and administrative skills
- Able to use initiative and take responsibility
- Ability to work under pressure
