Panagora seeks detail-oriented Sr. Specialist of Editorial Support and Production to support document production for proposals, deliverables, and other corporate materials as needed, in line with corporate and client branding and marking requirements. The ideal candidate will have demonstrated knowledge of USAID’s work, experience with USAID proposals, USAID branding and marking requirements, strong organizational and management skills, high attention to detail, and comfort working in a fast-paced environment.

Responsibilities

Proposals

  • In direct collaboration with the new business team, support proposal production needs, including resourcing for editing and formatting and providing input on timelines
  • In consultation with proposal managers, help ensure proposals meet RFP/RFQ/RFTOP requirements for font size, page limits, and other format requirements, including tracking relevant changes from amendments and Q&A
  • Support final production of proposals, providing quality control guidance and oversight to ensure formatting and writing style adhere to Panagora’s guides and RFP requirements
  • Continuously improve quality control process and cross-team collaboration

Fielding editorial and communications team requests

  • Manage and field company-wide requests from activity management teams (AMTs) and business units for copyediting, formatting, and graphics support (to be fulfilled by comms team)
  • Work with those teams to find best solutions and guide them on document needs, timelines, and workflow to get highest quality possible within timeframe and budget available

Managing internal and external resources

  • Manage external editing, formatting, and graphic design resources, and work to continuously improve and build resource pool
  • Manage internal resources for formatting needs on proposals and other written materials, ensuring each product adheres to relevant corporate or USAID branding and marking requirements

Deliverable production

  • Manage master calendar and work with AMTs to better develop and implement production timelines
  • Provide quality control of activity deliverables by tracking submissions and providing feedback to teams to ensure 508 compliance and proper formatting and editing
  • Build internal capacity of activity management teams and activity office staff in writing, editing, and document production

Quality assurance and capacity building

  • Be an in-house expert to provide guidance on and field questions about Panagora’s corporate style manual, USAID’s style guide, and activity branding and marking plans
  • Provide training for AMTs, AOs, proposal formatters, and proposal managers on document production and formatting as needed to improve quality and production planning

Communications collaboration 

  • As part of communications team, regularly meet with the team to discuss document production trainings, formatting and graphics needs, deliverable tracking, and provide insights on new business materials

 

Qualifications

  • Minimum bachelor’s degree with 10+ years of experience as an editor/writer
  • Managing editor and document production experience with command of AP and/or other style guides
  • Strong writing and editing skills
  • Demonstrated experience providing production support on large volume of technical and proposal documents
  • Document formatting skills preferred
  • Strong knowledge of USAID and international development; expert knowledge and practical application of USAID marking and branding guidelines preferred
  • Ability and flexibility to work with teams or independently in a fast-paced, deadline-driven environment
  • Exceptional verbal communication skills
  • Proven ability to self-manage and keep track of the bigger picture while staying focused on details of the job
  • High level of organization and project management skills
  • Ability to solve problems creatively and proactively, with excellent attention to detail
  • Proficiency with MS Office/MF365 online products; experience working collaboratively in online Word documents and knowledge of SharePoint environment a plus
  • Demonstrated experience working in culturally diverse team environments
  • Experience working or living in one or more developing countries is a plus
  • Proficiency in a second language (e.g., French, Spanish, Portuguese) is a plus

Departments/teams will hold in-person meetings that involve a high degree of collaboration, where ideas are generated quickly and often feed off each other, e.g., brainstorming, storyboarding, proposal development, strategic planning, and performance discussions. Staff who reside in the DC/MD/VA area are strongly encouraged to work from the office on those days.
