Summary

Organizational Studies is a small multi-disciplinary unit focusing on undergraduates who engage in the theoretical, empirical, and experiential study of organization(s) in society. This highly competitive program includes an admissions process and a very student-focused approach to all aspects of the students’ education both inside and outside the classroom. This 70%FTE position, which will be split with the Complex Systems department, will be involved primarily in the advising and recruitment of prospective students to the program, curricular and communications support, and oversight of all our awards processes. Details of the job are outlined below.

The Center for the Study of Complex Systems (CSCS) is a multi- and interdisciplinary program designed to encourage and facilitate research and education in the general area of nonlinear, dynamical and adaptive systems. In addition to its research projects led by over 50 faculty representing nearly every college of the University, CSCS offers an undergraduate minor and a graduate certificate, as well as student awards. The role of this 30% position will be in the areas of curricular support, advising, and oversight of awards processes.

Responsibilities*

  • Oversight of recruitment, student advising, and student admissions process (OS and CSCS) 40%
    • Develop and implement a recruitment strategy to aid in the increase of diversity of student applicants/admits, including sustained outreach to departments catering to first-year populations at the University
    • Advise prospective student applicants and serve as backup current student advisor to the OS advising team; serve as primary prospective and current student advisor for CSCS.
    • Oversee OS and CSCS student recruitment team in planning outreach and recruitment activities, including LSA Majors/Minors Expo, Festifall, OS Informations Nights (1 per term), visits to living/learning communities and campus housing.
    • Assist in preparation of materials for the faculty admissions committee including processing transcripts, application process, and documenting faculty admissions decisions.
    • Maintain prospective student data in Access database (OS) and Google sheets (CSCS)
    • Collaborate with Major Advisor on OS orientation planning
  • Curricular support for faculty and students (OS/CSCS unless otherwise mentioned) 40%
    • Work with faculty for all relevant course/programmatic changes in the CARF/PARF system by curriculum committee deadlines.
    • Work with unit communications personnel to create course posters and publicity for new courses to spur enrollment.
    • Update course descriptions (LSA course guide) and time schedule information (RO) within required deadlines.
    • Schedule courses according to the LSA Class Scheduling Policy before the scheduling freeze deadline.
    • Oversee enrollments and maintain registration guidelines (including waitlist and overrides) for appropriate capacity in courses and communicate information to faculty.
    • Communicate with students in a timely manner to ensure they understand registration issues connected with classes.
    • Provide enrollment reports to faculty and staff at the Faculty/Staff meeting (Fall/Winter) (OS only)
    • Oversee Course Evaluations process (preparing templates and collecting completed evaluations for archive).
    • Collect and archive syllabi each semester.
    • Maintain student email groups and student cohort groups in Mpathways
    • Hold advising appointments with CSCS minor and certificate students (CSCS only)
    • Process minor release forms (undergraduate) and dual degree checkout forms (graduate) for graduating students (CSCS only)
  • Coordination of scholarships (OS/CSCS) 10%
    • Update and maintain applications for all scholarships and awards
    • Coordinate all award committee meetings
    • Prepare financial information for disbursement of scholarships to awardees.

  • Event Planning and LSA activities (10%)
    • Assist in OS-wide event planning as needed (orientation, graduation, recruitment events
    • Assist in CSCS-wide event planning as needed (270 poster session, Rick Riolo competition, etc.)
    • Engage in LSA professional development and liaison activities (Sustainability, inclusive culture, MHealthy, PlanetBlue)

    OS Summer responsibilities

    • Plan and lead Campus Connections recruitment program with Comprehensive Studies Program
    • Coordinate and schedule the early fall career-based programming (Malkin Shadowing and /Mock Interview Resume Review planning)
    • Prospective student advising – current Major advising
    • Tracking OS student internships and activities over the summer
    • Coordinator for OS alumni summer meet-ups
    • Training in OS current student database use and management

    Required Qualifications*

    • Associate’s degree or an equivalent combination of education and experience required
    • High degree of attention to detail and accuracy
    • Excellent interpersonal, written, and oral communication skills
    • Ability to work effectively and sensitively with a diverse group of students, faculty, and staff in a busy environment
    • Demonstrated ability to handle sensitive and confidential materials and situations with discretion
    • Some event planning or project management experience
    • Proficiency and demonstrated experience with spreadsheets (Excel), databases (Access), and word processing
    • Demonstrated experience with public speaking
    • Excellent organizational skills, an ability to set priorities, and handle multiple assignments and deadlines

    Desired Qualifications*

    • Bachelor’s degree preferred
    • Experience in an advising/counseling capacity
    • Knowledge of University of Michigan information systems: MPathways
