Special Notice:

A Short-Term Appointment is used to recruit staff to meet short-term needs. The duration of this assignment is provided above. The maximum duration of a short-term appointment including extensions shall not exceed 12 months.

A Short-Term Appointment does not carry any expectancy, legal or otherwise, of renewal and shall not be converted to any other type of appointment.

Due to the short-term nature of the assignment, the ICC reserves the right to make an appointment at one grade lower than that stated in the vacancy with a modified job description.

A current ICC staff member who is holding a fixed-term appointment may apply for any short-term position. Where a current ICC staff member is selected to a short-term position, he or she will be temporarily assigned to the position in line with section 4.10 of ICC/AI/2016/001. GS-level posts are subject to local recruitment only.

The terms and conditions of service for staff members appointed under a short-term appointment are governed by ICC/AI/2016/001.

Organisational context

The General Services Section (GSS) organisationally belongs to the Division of Management Services in the Registry. The GSS consists of four units; the Facilities Management Unit (FMU), which is responsible for running the owner occupied premises at The Hague, the assessment, maintenance and adaptation of rental premises at field locations; the Procurement Unit, which provides value for money goods and services required by all Organs of the Court; the Transport and Logistics Unit (TLU), which provides distribution, supply chain services, fleet management, and shipping at HQ and Field Locations, local transportation mail operations and archiving at HQ.  The Travel Unit (TU) is responsible to provide all official travel of the ICC, related visa services, resident permits at The Hague, administrative functions related to privileges and immunities and shipment of personal goods on appointment and separation.  The Chief GSS, also responsible for the Courts commercial insurance programme, reports to the Director of Management Services. 

Duties and Responsibilities

The Supply and Support Services Coordinator manages administrative tasks for the  Transport and Logistics Unit, including commercial insurance management, fleet management (both at ICC Headquarters and at Field Office locations), administer (outsourced) printing requirements of the Court and distribution of office supplies.

Under the direct supervision of the Head of Transport and Logistics Unit, the incumbent will perform the following tasks:

  • Assist the Unit head in the supervision of non-staff resources and help to coordinate tasks;
  • Review and maintain equipment requirements and implement a plan for equipment maintenance and replacement;
  • Document practices, operational standards and regulations of the environment and contribute to and draft, policies, standards, guidelines, workflows and related strategies;
  • Identify logistics material requirements needed to effectively operate required services for the Court and scopes of work and raise requisitions for logistics related procurement activities;
  • Administer fleet management, propose replacement and capital investment and report to the Head, Logistics and Transport Unit accordingly;
  • Assist the Unit head in administering the commercial (staff, property including buildings and vehicles) insurance portfolios, ensuring accuracy and proper monitoring.

Essential Qualifications

Education:

  • Diploma of secondary education.

Experience:

  • A minimum of eight years hands-on work experience in supply chain at a national and/or international level. An Advanced or a first-level university degree may be considered as a substitute for two years working experience only to determine eligibility. 
  • Experience in dealing with contractors and sub-contractors is required;
  • Experience as regards to utilisation and upkeep of a wide range of office equipment, including monitoring and authorisation of supplies that are used and requested by the Court;

Knowledge, skills and abilities:

  • Knowledge of appropriate safety norms and application;
  • Knowledge of MS Office applications;
  • Knowledge of ERP systems, preferably SAP, budget and financial systems in international organisations;
  • Accounting experience is desirable.

Knowledge of Languages:

Proficiency in one of the working languages of the Court, English or French, is required.  Working knowledge of the other would be considered an asset. Knowledge of another official language of the Court (Arabic, Chinese and Spanish) would be considered an asset.
