The Supply Chain Assistant will focus on small amount procurement and other program support activities, managing assets and office equipment, interacting with warehouse and partners on the arrival and shipment of goods under the direct supervision of the Supply Chain Manager.
Responsibilities
• Procurement of materials and services:
• Procures materials and services up to USD 500 in accordance with the IRC procurement policy and the small purchase procedure. Involved in higher value procurements as needed..
• Controls the quality, quantity and timely delivery of purchased materials, as well as the timely execution of small contracts.
• Provides departments with information on local prices for materials and services.
• Procures stationery for all offices in Ukraine in accordance with the Contract, with a pre-formed order received from the Admin department.
• Support management in coordination with the finance department in tracking payments to suppliers.
• Support the warehouse manager and supply manager in inventory, logistics, purchasing, payments and market research.
• Asset and office equipment management:
• Ensures proper accounting and labeling of assets.
• Ensures proper use of assets.
• Assists in the registration of a global asset list.
• Ensures proper transfer and accounting of equipment and office machines/computers, furniture, etc. from one person to another.
• Others:
Performs other tasks as assigned by the Supply Chain Manager as required by the needs of the organization. Collaborates with all departments and works closely with the Senior Supply Chain Manager in the execution of supply chain management activities at the office level.
Demonstrated skills and competencies:
• Ukrainian (Russian), English written and spoken at least B1 level.
• Proficient in computer use, especially Microsoft Office Word and Excel spreadsheets and Outlook. Ability to work with Google docs, sheets.
• General knowledge of logistics, warehouse procedures and documentation.
• Attention to detail and ability to multitask.
• Team spirit and problem solving skills.
• Excellent interpersonal and communication skills, non-conflict, ability to control emotions.
• Keeps high performance under pressure.
• Demonstrates a systematic and effective working approach.
• Unbiased communication with people of different cultures, genders and backgrounds.
