As an support officer  you will join the VUB Exchange Team in the International Relations Office. You will work in a highly international environment, collaborating closely with 5 colleagues from the EU team. This position provides administrative support for student and staff mobility in EU and Flemish-funded projects

Your tasks include: 

  • Supporting the implementation of exchange scholarship programs funded by the EU and the Flemish government;
  • Monitoring mobilities, along with related administrative procedures and documents for students and staff in exchange, using the VUB tools for mobility management; 
  • Supporting the conclusion of inter-institutional agreements for exchange with international partners;
  • Managing communication and maintaining web pages for mobility; 
  • Providing first-line assistance to students coming/departing on exchange; 
  • Organizing informative and promotional events on campus;
  • Presenting and managing information sessions;
  • Preparing interim and final reports

For this position, campus Etterbeek will be your main workplace, with the possibility of  remote work on a monthly basis for up to 50%. 

2 – Profile

What do we expect from you? 

  • Preferably, you hold a Bachelor’s or Graduate diploma; candidates with a Higher Secondary Education diploma and a minimum of 5 years of experience may also apply. 
  • The working language of the team is English. Knowledge of Dutch is considered an added value.  You can  adapt your message easily depending on your audience. 
  • You have good IT skills (Word, Excel, PowerPoint), and experience with database file management is a plus. 
  • Ideally, you have several years of experience in student dossier management. 
  • You enjoy having a varied task portfolio and can easily switch between different responsibilities
  • You excel in efficiently managing tasks and setting targeted priorities. 
  • You have a keen interest in administration and are not afraid to learn how to work with new software packages. 
  • You can work independently and are a good team player.
