Department Summary
This position is housed in the Tutoring and Academic Engagement Center (TAEC), a unit within the Division of Undergraduate Education and Student Success (UESS).
UESS promotes academic excellence, universal access, engagement, and achievement for the student scholar. UESS programs focus on the educational trajectory of the student by providing opportunities and services essential for progress toward scholastic objectives and intellectual development. UESS departments and programs serve the entire population of UO undergraduate students and partner closely with other campus units to support student success and engagement.
At the Tutoring and Academic Engagement Center (TAEC) students find resources and services to enhance their learning and academic performance through tutoring, classes and workshops, individual learning consultations, graduate school test prep, and supplemental instruction. These resources are instrumental in helping students fill in critical subject and skill gaps, strengthen their academic performance, and help them make solid progress toward achieving their educational goals.
Position Summary
The Administrative Program Assistant (APA) provides administrative and operational support to the Tutoring and Academic Engagement Center (TAEC) and assists with the coordination of services.
The APA serves as the point of contact for the test preparation program, including managing the registration, payment verification, scheduling, room assignment requests, ordering materials, and instructional support. In collaboration with TAEC staff, the APA organizes and arranges events; supports TAEC programs including annual workshop series, Peer Academic Coaching, Class Encore, Summer Bridge, and Undergraduate Support Program; and coordinates the promotion of services to students and campus partners.
The APA provides administrative support to the AVP (Assistant Vice Provost) for Academic Success, primarily managing the AVP’s calendar and arranging individual and group meetings. The APA assists with IT and learning material inventory; maintains files, procedures, and records; and assists with regular reporting. The APA undertakes assigned projects from set-up to completion with minimal guidance.
Due to the sensitive nature of personnel information, the ability to maintain confidentiality standards is of the utmost importance. The APA reports to the Assistant Vice Provost for Academic Success.
The APA must exhibit professionalism, collegiality in a team environment, and the ability to contribute to a welcoming and professional atmosphere in the office. This person must be culturally competent, with the ability and commitment to work with individuals from diverse backgrounds.
Minimum Requirements
• Three years of office experience which included two years at full performance level and experience generating documents; and
• Lead work responsibility or coordination of office procedures.
Professional Competencies
• Strong written and interpersonal communication skills, including the ability to write and speak on behalf of TAEC regarding its programming, policies, and procedures.
• Demonstrated organizational skills with the ability to prioritize and multi-task effectively in a fast-paced, detail-oriented, and time-sensitive environment.
• Demonstrated proficiency with MS Office Suite (or similar), especially calendaring, email, and word processing software.
• Demonstrated ability to problem-solve and resolve issues with minimal supervision.
• Ability to produce professional correspondence, documents, and presentations.
• Demonstrated ability to work collegially and collaboratively with diverse internal and external constituencies.
• Demonstrated understanding of issues facing diverse groups, e.g., low-socioeconomic, first-generation, underrepresented, non-traditional, disadvantaged, and under-prepared individuals.
Preferred Qualifications
• Experience working in a higher education setting.
• Experience with Drupal, WordPress, or similar platforms to update website content, and/or experience with social media platforms.
• Experience with event planning and coordination.
• One year of professional experience implementing programming or project management.
