The World Bank has been supporting India in developing and delivering appropriate solutions to the country. Currently, The World Bank’s operation in India includes support to the reform and development agenda of the country on urban and transport infrastructure, rural development and community livelihoods, human development, climate change and disaster risk management and finance and private sector. The current active World Bank portfolio in India comprises 93 projects with a total net commitment value of approximately US$19.3 billion.

The World Bank’s India Country Management Unit (CMU) is seeking a highly organized, energized and experienced professional, to support the India Program as Team Assistant (TA) based in the World Bank New Delhi Office. The selected candidate will work in a multi-disciplinary team environment and will carry out a full range of operational and administrative support across various Global Practices and Cross Support Teams in the India Office.

Please note that this is a country office position in India subject to Local Recruitment under the New Delhi India Compensation Plan. If a staff member holding an HQ/ International Position is selected into this Position, then the staff member would convert to a Local Appointment (i.e., a local salary and no expatriate benefits.)

Duties and Accountabilities

The Team Assistants duties and accountabilities include, but are not limited to, the following:

Provide support on visa services, forex services, handling conference/workshop/study tours, liaising with Hotels/Airlines as and when required, liaising with Ministries/FRRO and etc.
Ensure compliance of World Bank rules and regulations, policies and strategies on travel management. Provide counseling to staff in NDO and visitors from Washington and other Country Offices on travel matters, including entitlements, travel route and hotel arrangements/agreements.
Processing requests for visas for all World Bank travelers, as well as advising and assisting in appropriate Indian visas for relocating International Recruited Staff (IRS) and their families. Assistance in processing of applications and renewals of UNLP for World Bank staff. Accompany staff/consultants to the MHA, Foreigners Regional Registration Office (FRRO), or Police station if required
Assist Supervisor, Visiting Mission on GST related task such as downloading domestic airline invoices from the airline website, wherever available, regular follow up with international airlines to obtain tax compliance invoices. match invoices with travel agency travel transaction report and verify GST amount, regular follow up with the hotels to obtain tax compliance invoices, when necessary, quarterly submission of GST compliance airline invoices to claim GST, post GST receivable, reconciliation and etc.
Carry out full range of office support work, including managing processes and monitoring schedules related to their team’s/unit’s products and tasks;
Draft routine correspondence materials, using proper grammar, punctuation and style.
Logistical support for various events, e.g., conferences, workshops, negotiations, etc.
Any other task assigned by Supervisor as and when required.

Selection Criteria

Minimum qualification bachelors degree
3 years working experience in travel, administration; logistics; business management service, or other relevant fields
Highly organized and time-conscious in performing assigned tasks
Effective working in a team, with excellent inter-personal skills
Ability to work across boundaries and proactive in tackle work challenges
Strong English language skills (verbal and written), including ability to draft a variety of correspondence and edit materials using proper grammar, punctuation
Proficiency in key business tools such as Excel for managing quantitative and logistic tasks, when necessary.
