Org. Setting and Reporting
Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 140 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyzes action and increases global awareness to reduce disaster risk working with UN Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community. This is a temporary position for a period of 364 days. The temporary position is located in the UNDRR office in Bonn. The Team Assistant reports to the head of the UNDRR Bonn office.
Responsibilities
Within delegated authority, the incumbent will be responsible for the following duties; General Administrative and procurement Support: • Performs a wide range of office support and administrative functions. • Responds and drafts responses to routine correspondence and other communications, reviews and processes mail and other documents; follows up on impending actions. • Assists in various administrative tasks such as equipment and service procurement, preparing Purchase Requests, generating service entry sheets in the system, and addressing issues or discrepancies related to payment or invoices with the Accounts Payable unit. • Monitors and replenishes office supplies as needed. • Proofreads documents, drafts and edits texts for accuracy, grammar, punctuation, and style, adhering to established standards for format. • Assists in the preparation of presentation materials using appropriate technology/software. • Updates and maintains large distribution lists; prepares and distributes various materials, reports, using electronic formats where possible; coordinates shipment arrangements, courier services, etc. • Responds to information requests, inquiries, and drafts responses to routine correspondence and other communications; routes incoming correspondence received at the UNDRR email address. Information management support: • Acts as the focal point for updating and maintaining the office filing system on SharePoint within M.S.Teams. • Provides secretarial, IT, and logistics support to meetings, workshops, conferences, etc. • Supports meeting and event arrangements, travel of participants, budget follow-up, etc., including preparing and/or processing administrative requests/documents. • Maintains files (both paper and electronic) and databases for the work unit. • Maintains IT inventory records, acts as a liaison between staff and IT support, and responds to basic queries about technology and systems. • Maintains inventory records (IT equipment, mobiles, etc.) and assists in preparing annual inventory records for the UNDRR Bonn office. • Performs any other duties as assigned.

Work Experience
A minimum of three (3) years of progressively responsible experience in administrative services is required. The minimum years of relevant experience is reduced to 1 year for candidates who possess a first-level university degree or higher. Experience in procurement and reviewing payments is desirable. Experience in information technology is desirable. Experience working in international organizations such as the United Nations is desirable. Experience using Enterprise Resource Planning system such as Umoja or similar is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
