Org. Setting and Reporting
This position will be temporarily vacant for a period of 12 months, with possibility of extension. This position is located in the Social Development Unit at the Subregional Office of ECLAC in Mexico. The Team Assistant reports to the Project´s Coordinator of the Social Development Unit. The Economic Commission for Latin America and the Caribbean is one of the five regional Commissions of the United Nations. It was founded in 1948 with the purpose of contributing to the region’s economic and social development. Its mission includes the design, monitoring and evaluation of public policies and the provision of advisory services, expertise and training to Governments, as well as support for regional and international cooperation and coordination activities. Responsibilities
Under the overall supervision of the Project´s Coordinator, in the framework of the project “Closing education gaps in the communities of south and southeast Mexico”, implemented in collaboration with the Wellspring Philanthropic Fund, the Team Assistant will be responsible for the following duties: • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Provides technical and analytical inputs for the project’s main products (the conceptual document, the national diagnostic, the case studies and the communication and capacity building tools). • Supports administrative and logistic processes related to human resources, travel and events in UMOJA, in collaboration with the relevant administration units. • Provides general office support services to help ensure the smooth implementation of the project; • Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. • Proofreads written products for completeness and grammatical and typographical accuracy. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. • Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. • Maintains files (both paper and electronic) and databases for work unit. • Updates and maintains large distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services. • Performs basic data entry and extraction functions. • Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.). • Delivers urgent mail/messages. • Performs other duties as assigned.

Education
High school diploma or equivalent is required. NOTE: For positions in the General Service category, candidates are required to clearly indicate in their Applicant Profile (AP) relevant information confirming completion of High School.
Job – Specific Qualification
Supplemental technical or vocational certificate in the field of social sciences, international relations, economics or related is desirable.
Work Experience
A minimum of two years of progressively responsible professional experience in general office support or related area is required. The minimum years of relevant experience is reduced to 0 for candidates who possess a first level university degree or higher. Experience assisting in programme or project administration, budget and reporting is desirable. Experience in conducting research on social development topics is desirable. Experience in similar positions in United Nations or similar international organizations is desirable. Experience in Enterprise Resource Planning (ERP) systems such as SAP is desirable. 1 year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat and Spanish is a working language of ECLAC. For the position advertised, fluency in Spanish is required and intermediate knowledge of English is required; Knowledge of another official United Nations language is desirable. Knowledge of the second language (English/Spanish) will be tested, unless it can be supported by a certificate from a recognized institution.

Special Notice
– This position will be temporarily vacant for a period of 12 months, with possibility of extension.
