The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The overall objective of UNEP’s Industry and Economy Division is to encourage decision makers in government, local authorities and industry to develop and adopt policies, strategies and practices and technologies that promote sustainable patterns of consumption and production, make efficient use of natural resources, ensure safe management of chemicals and contribute to making trade and environment policies mutually supportive. The Division promotes the development, use and transfer of policies, technologies, economic instruments, managerial practices and other tools that assist in environmentally sound decision making and the building of corresponding activities. Please review internet address (http://www.unenvironment.org). The position is located in the Resources and Markets Branch of the Industry and Economy Division at the Geneva Duty Station. Under the overall supervision of the Head of Unit, United Nations Environment Programme Finance Initiative (UNEP FI) and the direct supervision of the Administrative and Fund Management Officer, the incumbent will be responsible for the following duties:
Responsibilities
• Assist the team in processing applications for vacancies, in staff and consultant positions including preparing and maintaining case files for candidates, ensuring and monitoring the transfer of files of candidates between offices, arranging for interviews, and entering data on candidates into the automated roster. • Assists in the filling of posts, including initiating and following-up on reference checks and academic verifications, ensuring the completion of the pre-recruitment formalities, calculating salaries and related benefits, and preparing and dispatching offers of appointment and Statement of Emoluments. • Assists in the evaluation and screening of applications of candidates for secretarial, clerical and related categories positions. Maintains vacancy announcement files and tracks status of vacancy announcements. • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. • Prepares agenda and provides relevant documentation required for recruitment related meetings. • Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. • Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site. • Assists in the preparation of presentation materials using appropriate technology/software. • Performs data entry and extraction functions. • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. • Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.). • Assists in providing software and office equipment support. • Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Performs other duties as assigned.

Work Experience
A minimum of three (3) years of experience in human resources management, administrative services, general office support, or related area is required. The minimum years of relevant experience is reduced to one year for candidates who possess a first-level university degree or higher. Experience in supporting staff recruitment, including using an Oracle PeopleSoft application, such as Inspira or equivalent recruitment module is desirable. Experience working in a front office is desirable. Experience in the use of Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint and Microsoft Teams, is desirable One (1) year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this post, fluency in English is required. Knowledge of other United Nations languages is desirable. NOTE: ”Fluency” equals a rating of ”fluent” in all four areas (read, write, speak, understand) and ”Knowledge of” equals a rating of ”confident” in two of the four area.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
