Purpose

 Serves as office manager for the Equal Opportunity in Engineering program (EOE) and the Women in Engineering Program (WEP), overseeing and coordinating the administrative needs of the office including payroll, accounting, purchasing, supplies management, and travel documentation.

Responsibilities

  • Administers payroll, HRMS, and human resources for hourly employees, including student assistants, tutors, and undergraduate research assistants. Manages accounting procedures and budgets for EOE and WEP through the Cockrell School Business Affairs Office. Manages EOE and WEP office systems such as maintaining an inventory of office supplies, ordering office supplies, and ensuring office equipment is in working order.

  • Manages travel procedures for EOE and WEP; i.e. RTAs, APS, Concur, and travel booking. Manages corporate partnership invoices and tracks receipt of corporate funds. Performs other related duties as assigned. Processes scholarship payments, gifts in VIP; deposit program income.

Required Qualifications

Bachelor’s degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience. Excellent communication skills. Prior experience with overseeing and coordinating the administrative needs of an office such as payroll, accounting, purchasing, supplies management, and travel documentation.

Work Shift

  • Hours per week – 15

  • The work schedule is 8 to 5 – M – F – to be discussed and agreed with the supervisor.
