POSITION SUMMARY

The Temporary Project Assistant is responsible for providing support to the grants system implementation team. This is a temporary position, to be completed once the full system has been deployed (July 31, 2024). This position involves administrative support, basic platform configuration and system testing so attention to detail is critical.

This position is based on-site in the Simons Foundation offices in New York City.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

Assists with implementation of a new grants management system, including, but not limited to

  • Document key decisions during team meetings
  • Assist with meeting logistics and scheduling
  • Conduct system testing. Responsibilities include,
    • System testing after new configuration is released  
    • Testing to after system upgrades
    • Organization of remediation requests
  • Assist in the implementation of basic configuration (creation of fields, transferring copy edited content into the system, and creation of tool tips, instructions, etc.)
  • Assist project team with stakeholder training. Responsibilities include,
    • Support of training workshops
    • Assist in the development of training materials and standard operating procedures
    • Maintain electronic manuals and training videos
  • Assist System Administrator in the configuration of WalkMe solutions
  • Provide customer service support and troubleshooting assistance for internal and external system users through Zendesk
  • Assist with data migration efforts, including, but not limited to:
    • Data cleansing
    • Post migration testing and validation

MINIMUM QUALIFICATIONS

Education

  • Bachelor’s degree

Experience

  • Grants management or administrative experience appreciated
  • Knowledge of proposalCENTRAL and/or SmartSimple award management system a plus
  • Knowledge of WalkMe a plus
  • Knowledge of product and software development techniques and agile methodologies a strong bonus

COMPENSATION

  • The compensation range for this position is an hourly rate of $26.44 – $28.84 per hour, depending on experience.
