Role Purpose:

The Test Day Officer will be responsible for implementing all activities related to the Test Day and Post Test Day processes across all products. The post holder will ensure that examinations are conducted to the highest standards and in accordance with relevant Corporate and Exam Board guidelines. This role also encompasses the timely scanning and submission of exam papers, management of OSM and Speaking Results for IELTS, uploading results to IWAS, handling Enquiry on Results (EOR), and managing refunds for all products. Additionally, the Coordinator will oversee the results dispatch process.

Main accountabilities but not limited to the following:

Product Service Delivery

  • Implements the Test Day and Post Test Day activities, including recording attendance using CiCo and BOSS systems.
  • Supports investigations arising from Test Day activities.
  • Coordinates with the Operations Planning Manager for venue planning.
  • Ensures proper storage of exam materials and papers at the venue, adhering to Compliance standards, and escalates any discrepancies.
  • Reconciles exam materials and papers received at the venue according to Compliance standards and escalates any discrepancies.
  • Checks the receipt of sufficient and adequate test day resources, such as process guides, stationery, branding/signage, and technical equipment.
  • Ensures proper procedures and documentation when handing over to couriers.
  • Facilitates timely payment of Venue staff and Examiner payments.
  • Manages results dispatch for all products.
  • Ensures timely checking of speaking test recordings, scanning, and submission of exam papers for marking.
  • Manages post-exam services, including transfers, refunds, EOR, and processing of results, attestations, and certifications.

Customer Service

  • Provides support for the satisfactory resolution of complex/escalated customer (internal or external) operational complaints and issues related to Test Day activities.

Stakeholder Management

  • Coordinates closely with the Business Improvement and Operational Planning teams to manage BOSS, CiCo, and Venue selection.

Risk and Compliance

  • Provides support and reporting for audits and performance reviews.
  • Follows agreed corporate risk management processes and procedures when delivering services.
  • Ensures timely and accurate management of venue staff and Examiner payments in accordance with British Council financial standards.

Analysis and Reporting

  • Gathers data for performance monitoring of staff on Test Day and provides it to the Test Day Manager.
  • Collects data for investigations arising from Test Day activities.

Role specific knowledge and experience:

  • Possesses a minimum bachelors degree.
  • Has experience working in an operations environment managing confidential materials.
  • Demonstrates experience working in a compliant and regulated environment.
  • Shows experience in a busy operational environment delivering high levels of customer service.
  • Familiarity with the delivery of computer-based exams.
  • Experience working in an environment that includes Under 18s, along with experience in safe planning, organizing, and delivering activities for children.
