Trainer for Front-Line Staff Management Capacity Building (3-Day Training)

Background

The Iraqi Institution for Development (IID) is seeking an experienced Trainer to deliver a 3-day management capacity-building training for front-line staff from both IID and its local partners working under a consortium project. This training will provide practical, hands-on skills in management, reporting, logistics, HR, and team coordination, focusing on improving the efficiency and effectiveness of field teams. It will also review organizational policies to ensure alignment with operational practices.

Key Objectives:

  • Equip front-line staff with essential, practical management skills.
  • Provide tools for logistics, HR processes, basic financial tracking, and programmatic reporting.
  • Strengthen team management and communication skills, including clear understanding of reporting lines within the organizational structure.
  • Improve staff competency in outreach, data collection, and community engagement.
  • Review and ensure staff understanding of the IID’s organizational policies, roles, and responsibilities.

Roles and Responsibilities:

  1. Training Design:
  • Tailored Curriculum Development:
    • The curriculum should be practical and cover:
      • Logistics & Procurement: How to submit and track Purchase Requests (PRs), basic inventory management, and procurement steps.
      • HR Responsibilities: Staff attendance, role clarity, and understanding of the reporting hierarchy.
      • Basic Financial Tracking: How to handle and report small budgets, submit receipts, and track field expenses.
      • Programmatic Reporting: Clear guidance on preparing weekly and monthly reports for both donors and stakeholders, with simple templates.
      • Organizational Structure & Reporting: Review the IID organogram and ensure staff understand who they report to, how information flows, and each employee’s responsibility within the organization.
      • Outreach & Data Collection: Practical skills for engaging communities, collecting relevant data, and recording feedback.
      • Team Management: Skills for effective communication, conflict resolution, and team coordination.
      • Organizational Policy Review: Familiarize staff with key organizational policies, including security, compliance, reporting lines, and operational procedures.
    • Training Materials:
      • Develop easy-to-follow handouts, presentations, and role-playing exercises to help staff practice these concepts.
      • Include review materials on IID’s policies and guidelines to ensure staff understand compliance and operational standards.
  1. Training Delivery:
  • Day 1:
    • Introduction & Objectives: Align the training with the goals of the IID and projects.
    • Logistics & Procurement: Training on creating and following up on PRs and managing field inventories.
    • HR Basics & Organizational Policy Review: Cover the roles of HR, and team responsibilities, and ensure clarity on IID’s organizational policies, including security, compliance, and operational guidelines.
  • Day 2:
    • Basic Financial Awareness: Teach staff how to manage small field budgets, track expenses, and prepare simple financial reports.
    • Programmatic Reporting: Hands-on training on preparing weekly and monthly reports for donors and stakeholders, focusing on field activities.
    • Team Management & Communication: Introduce techniques for managing field teams, effective communication, and resolving conflicts in the field.
  • Day 3:
    • Monitoring & Evaluation (M&E): Practical data collection methods for field workers, focusing on tracking progress and gathering feedback.
    • Outreach & Engagement: Practical tips for reaching target communities, developing survey questions, and collecting actionable data.
    • Final Review: Overview of key organizational policies and reporting structures, and how these policies support project implementation.
    • Wrap-up & Q&A: Final discussions and a summary of key takeaways, ensuring participants feel confident applying the skills learned.
  1. Capacity Building:
  • Review of Organizational Policy:
    • Conduct a detailed review of IID’s organizational policies relevant to front-line staff, ensuring clarity on operational procedures, reporting lines, and compliance.
    • Ensure that each participant understands their role within the organization and to whom they report.
  • Reporting & Communication:
    • Teach staff how to prepare and submit weekly and monthly reports to donors and stakeholders, including simple templates and tools for organizing field data.
    • Clarify the process for reporting within the IID’s organogram, ensuring each staff member knows the correct channels of communication.
  • Team Management & Support:
    • Provide strategies for team communication, conflict resolution, and supporting one another in the field.
    • Teach team leaders how to ensure their teams are functioning efficiently and how to communicate effectively with their supervisors.
  • Outreach & Data Collection:
    • Train staff on practical outreach techniques, including how to engage beneficiaries, ask relevant questions, and collect useful data from communities.
    • Provide sample survey questions and outreach tools for effective data gathering.
  1. Post-Training Evaluation:
  • Collect feedback from participants on the training’s effectiveness.
  • Submit a final report to IID summarizing participant feedback, key outcomes, and recommendations for further capacity building.

  • Education:
    • Degree in a relevant field such as Project Management, Social Work, or similar.
  • Experience:
    • At least 3-5 years of experience delivering training to front-line staff in humanitarian or development settings.
    • Strong understanding of operational processes such as logistics, HR, financial tracking, and reporting.
  • Skills:
    • Ability to simplify complex processes and communicate them clearly.
    • Experience facilitating interactive, practical training sessions.
  • Languages:
    • Fluency in Arabic is required; English is an advantage.
