Organizational Context

United Nations Department of Safety and Security (UNDSS) is an integral part of the United Nations Security Management System (UNSMS) in Pakistan. The Office has been increasing the support to the UNSMS staff members in Pakistan, UNDSS within its capacity has been supporting the UN AFPs in delivering their programs. The Training Unit in UNDSS remains an integral function/ activity of UNDSS for continuous support to the UNSMS staff members in Pakistan. Considering this critical need due to ongoing SSAFE trainings

Under the overall guidance and supervision of the Chief Security Adviser/ Deputy Security Adviser (DSA), the incumbent will assist in the implementation of training programme of UNDSS. 

Position Purpose

The Training Assistant will assist the UNDSS Training Unit to provide appropriate trainings to UNSMS staff at large in Pakistan: Disseminate announcements for all training courses (SSAFE, AV, First Aid, WSAT etc). Organize and coordinate all venues, logistics and administrative requirements. Ensure that all staff of the UN system are invited to participate as appropriate. He/she also responsible for organizing, plan and maintain inventory of training materials and ensure that all appropriate learning materials are employed. The Training Assistant will perform as an instructor/trainer on SSAFE trainings, prepare draft training reports for all SSAFE training, in accordance with established procedures, including appropriate recommendations to enhance training. UNDP adopts a portfolio approach to accommodate changing business needs and leverage linkages across interventions to achieve its strategic goals. Therefore, UNDP personnel are expected to work across units, functions, teams, and projects in multidisciplinary teams to enhance and enable horizontal collaboration.
 

Duties and Responsibilities

1.    Assist the UNDSS Office in designing all trainings for United Nations Agencies, Funds and Programs and INGO/NGO in Pakistan.
  • Assist in the preparation of trainings calendar (Safe and Secure Approaches in Field Environments (SSAFE) training SSAFE, AV, First Aid, WSAT etc).
  • Liaise and coordinate, as appropriate, with the UNSMS Organizations, embassies and INGOs for the participants enrollment for the trainings.

2.   Assist the UNDSS Office to organize and coordinate all venues, logistics and administrative requirements needed for UNDSS trainings in Pakistan. 

  • Assist in the preparation and coordination with the venue management.
  • Maintain vendor list for the logistics and administrative requirements for the training.
  • Assist in market survey for the vendors for the training’s requirements.
  • Prepare training budgets and Bill of quantities (BoQs).
  • Support actions during the implementation of the training calendar Plan, as required.

3.   Support the UNDSS Office to ensure that all staff members of the UN system are invited to participate as appropriate and to keep SSAFE training database updated.

  • Disseminate announcements for training (SSAFE, AV, First Aid, WSAT etc).
  • Prepare and share invoices with the UNSMS Organizations, embassies and INGOs.
  • Develop and maintain the training unit records/ reports (SSAFE training database update).
  • Ensure adequate gathering and verification of security information, data etc.

4.   Support the UNDSS Office to organize, plan and maintain inventory of training materials (Laptops, projectors, PPE, VHF Radios, First Aid Kit and any other required materials).

  • Assist in inventory record keeping, physical verification after the training.

  • Assist the UNDSS Office to ensure that all appropriate learning materials are employed (tests, handouts).

5.   Perform as an instructor/trainer on SSAFE trainings, to be able to deliver any topic included in SSAFE training in English and local language and to prepare draft training reports for all SSAFE courses, in accordance with established procedures, including appropriate recommendations to enhance training.

6.   Support the UNDSS Office to develop and conduct training needs assessments and evaluations of each SSAFE training to identify areas for change, modification, or enhancement of the SSAFE Pakistan training package, especially regarding preparation and performance of role players during practical part of SSAFE training.

Required Skills and Experience

Education:
  • Secondary Education is required.
  • University degree (bachelor’s or master’s equivalent) Business Administration, Political Science, Military Studies, Security, Management, tor a relevant field will be given due consideration, but it is not a requirement
Experience:
  • Minimum of 5 years (with high school diploma) or 2 years (with bachelor’s degree) of relevant experience, preferably in the military or police context or related field of work.
  • Prior experience with the UN system or an international NGO is desirable.
  • Knowledge and experience using Communication equipment, VHF radio operation is an asset.
  • Experience in SSAFE -Training of Trainers (ToT) is considered an asset.
  • Experience as a SSAFE training instructor is considered an asset.
  • Experience in diplomatic security, protection and intelligence are considered an asset.
  • Experience and knowledge of host country security structures is desired.
  • Strong experience in using Microsoft Word, Excel, Access, and PowerPoint etc is required.
  • Possession of a valid driver’s license is required.
  • Fluency in the English is required.
  • Fluency in the Urdu of the duty station is required for local staff.<Experience Details here>
