Pay Band: 6

Salary:Starting 25,520 (+ 3,300 market allowance if based in London)
Contract Type:Fixed term contract until the end of September 2024
Location:UK only; London, Manchester, Cardiff, Edinburgh, Belfast.

Requirements:Candidates must have the pre-existing (permanent) right to work in location.

Role Purpose
Working within the Transformation Selection Coordination Team, youll provide strong, accurate, proactive, and customer-focused administrative support at all stages of the people selection activity across the Transformation Programme.

In practice, this will involve running the internal selection process in the ATS (Applicant Tracking System), updating the system and stakeholders, and managing any relevant changes, queries or complexities. Youll rely on your clear communication with global stakeholders and internal candidates, whilst managing and maintaining system process and documentation.

In delivering this, youll be ensuring an efficient, end to end selection process is delivered to our internal stakeholders. Our aim is to provide an excellent and seamless experience for employees and panel chairs alike.

Successful achievement will mean youll be key to ensuring that Transformation Programme selection activity runs smoothly and achieves project milestones and timeframes.

This will help establish the new organisation structure in readiness for proposed relevant business changes.

Main Opportunities for This Role

  • Contribute to an efficient and effective Global Resourcing service through delivery of strong administrative support within transformation selection exercises (note: the selection process is subject to consultation currently).
  • Manage the administration of internal Transformation Programme selection processes, ensuring that the system data and process documentation are aligned and accurately maintained.
  • Communicate and partner with colleagues in the broad HR function and with Selection Panel Chairs to ensure that selection activity milestones are met.
  • Mitigation of risk by: responding promptly to incoming queries from employees and Panel Chairs, escalating any relevant questions to the Selection Coordination Team Supervisor.
  • Finalise required onboarding steps prior to go live of the new structure.
  • Opportunity to create strong partnerships with other Resourcing colleagues and internal stakeholders in order to continuously improve speed and efficiency of activity.

Main accountabilities including but not limited to the following:

  • Meet with Global and / or Regional HR Business Partners (HRBPs) at start of Transformation Programme activity to agree timelines and process for selection. Gather all relevant employee data, role profiles and selection forms to enable the process.
  • Set up role requisitions in the system and advertise them as agreed with HR colleagues, meeting with vacancy panel Chairs to agree how you will work together at key points in the process. Adhere to the global process created for this purpose.
  • At the appropriate stages, move all candidates through the process in the system, being careful to check and tailor email templates in line with global process. Correspond with candidates carefully, escalating queries that you require support with.
  • Where relevant, schedule interviews in the system and book candidates into the scheduled slots, carefully managing any changes to this schedule by email.
  • Create supporting selection collateral such as interview packs. Book rooms or set up virtual meetings, send invitations and register candidates with reception where relevant. Assist with travel arrangements where required.
  • Maintain close contact with the Team Supervisor, providing regular updates on progress and any challenges encountered. Highlight any instances where process is not being followed.
  • Provision of a timely and highly accurate onboarding experience, effectively managing all aspects of the process. Occasionally this may involve carrying out security and ID checks (such as DBS checks, proof of eligibility to work in the UK).
  • Update the system according to the outlined onboarding process to enable employees to transition seamlessly to the new organisation structure.
  • Other general resourcing administrative duties

Role specific knowledge and experience:

Minimum

  • Exposure to working with confidential information.
  • Exposure to working within a busy, fast paced environment meeting tight deadlines.
  • Sound evidence of providing high level administrative support to individuals and teams
  • Proven ability to work in a timely and accurate way, with proactive intervention to identify problems.
  • Ability to engage with varying levels and types of stakeholders.

Desirable

  • Evidence of acting as the first point of contact within a customer focused environment
  • Some previous knowledge of HR systems (such as Success Factors)
  • Successfully delivering end to end recruitment and onboarding support, including pre-employment checks.
