External Relations Assistant

Organizational Setting and Work Relationships
The External Relations Assistant normally functions under the direct supervision of a (Snr) External Relations Officer or another professional staff depending on staffing structure of the Office. The incumbent assists in the management of external relations activities of the Office. Under the supervision of the manager, s/he provides support in organising visits of UNHCR senior management, foreign delegations, donors, press and media by contributing to the drafting of briefings and reports/materials for external partners. S/he may also receive advice and operational support from the External Relations/Public Information Units at the Country Office /HQ.

Duties
– Support the drafting of briefing notes, bulletins, reports, newsletters and prepare any other public information material, as required.
– Facilitate and accompany visits of foreign delegations, partner NGOs, donors and the media to refugee camps.
– Assist in the drafting and translation of routine correspondence and texts.
– Ensure that public information materials including fact sheets, information brochures, briefing materials from the Branch Office, etc. are available.
– Support the organization of events (e.g. World Refugee Day) and liaise with partners, refugees and local communities on implementation.
– May be required to assist in compilation of weekly, monthly, annual/quarterly thematic reports, situations reports etc.

– Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
– Perform other related duties as required.

This position is in the National Office headed by the Head of National Office, reporting directly to the Regional Bureau in Dakar, Senegal.
The National Office is part of the Coastal Countries structure.

Qualifications minimales essentielles et expérience professionnelle requise :
Être de nationalité togolaise, avoir le statut de réfugié au Togo ou disposer d’une autorisation légale de travailler au Togo.
Être titulaire d’un diplôme universitaire en relations internationales, sciences politiques, communication, journalisme, développement international, sciences sociales ou dans un domaine connexe.
Justifier d’une expérience professionnelle pertinente dans les domaines de la communication, des relations extérieures, des partenariats, des affaires publiques, de la gestion de l’information ou de l’action humanitaire.
Excellentes compétences en communication écrite et orale, avec une forte capacité à interagir avec des interlocuteurs variés et à travailler efficacement dans un environnement international et multiculturel.
Excellente maîtrise du français et bonne connaissance de l’anglais, avec de solides capacités de rédaction, de synthèse et de révision de documents destinés à des audiences internes et externes.
Maîtrise des outils de la suite Microsoft Office (Outlook, Word, Excel, PowerPoint) ; la connaissance de Power BI, des outils de visualisation de données ou des plateformes de communication numérique constitue un atout.
Excellentes capacités d’analyse, de synthèse et de résolution de problèmes.
Aptitude démontrée à proposer des solutions innovantes et à faire preuve de créativité dans le développement de produits de communication et de sensibilisation.
Grande rigueur organisationnelle, sens du détail et capacité à gérer simultanément plusieurs priorités dans des délais contraints.
Capacité à travailler de manière autonome tout en contribuant efficacement au travail d’équipe dans un environnement dynamique.
Solides compétences en planification, coordination et suivi d’activités impliquant de multiples parties prenantes.
Une expérience en collecte, analyse et présentation de données est fortement souhaitée, notamment pour l’élaboration de rapports, de produits de communication axés sur les résultats et de documents destinés aux donateurs et partenaires.
Une connaissance du contexte humanitaire, des enjeux liés aux déplacements forcés, à la protection des réfugiés ou au développement constitue un atout important.
