Reporting to the Head of the Publishing Section (SH-PUB), the Unit Head leads and supervises a multi functional team, responsible for the design, layout and production of books / content in multi format offerings. Through fostering innovation and collaboration across the Agency the Unit Head is responsible for driving forward the transition from print to digital content production.

The Unit Head plans, manages, and evaluates the work of all the functional areas of the Production Unit (desk top publishing and design, coordination and the VIC Common Printing Services) ensuring the highest degree of efficiency, effectiveness and customer satisfaction. Working closely with colleagues in the section and the wider division the Unit Head evaluates and improves the workflows between the different functional units to ensure timely delivery of all products.

In addition, the Unit Head is responsible for managing the relationship with external providers- evaluating and ensuring services remain relevant and cost effective for the section and the wider agency.

Role

The Head of the Production Unit is:

a leader, ensuring the identification and implementation of innovative solutions and best practices that address Agency priorities and achieve Agency goals;

a manager, providing guidance, managerial support and direction to the team, and planning resources with a view to achieving efficient and effective results, ensuring adequate training and staff development in relevant areas;

a digital content specialist, researching and identifying solutions that will help the production of varying formats of digital content in a cost and time effective manner;

a service provider, ensuring the timely and efficient provision of the services offered by the Unit, working in collaboration with other departments;a driver of change. Increasing the use of automation, to ensure optimal workflows between the various functional areas of the Production Unit and with the wider Section, as well as other parts of the house

 an innovator and creative problem solver, researching, analysing and evaluating relevant information to develop and implement technical product solutions for the Section;

a skilled communicator who can navigate complex situations and translate key messages to a wide variety of stakeholders;

Production liaison with other Vienna Based Organizations (VBOs).

Functions / Key Results Expected

  • Lead, plan, organize, manage and evaluate the work of the team, assessing performance levels and providing training and development opportunities, continuously reviewing effectiveness, focusing on priorities and driving for excellence in line with the IAEA’s quality management and results-based programming approach.
  • Research, evaluate and analyse technical solutions for digital content development and lead the production of digital products in collaboration with wider agency stakeholders through recommending on a cost- benefit analysis adoption of/ or adaptation of new techniques/technologies.
  • Coordinate the workflow among the functional areas of the Production Unit and with the wider Section (where relevant) increasing the use of automation tools to increase efficiencies and ensure timely delivery of the productions.
  • Provide advice and guidance on book production (from design to delivery) to colleagues and clients from throughout the Agency and the VBO ensuring we maintain high client satisfaction.
  • Develop appropriate policies, guidelines and cost models to maintain financial sustainability and ensure the optimum operation of internal printing services, outsourced printing services and production software within the wider responsibility/context of reducing our environmental footprint (e.g. toner/paper and energy usage and waste reduction).
  • Take responsibility for implementing agreed Agency policies within the production area.
  • Collaborate with procurement colleagues, develop and review statements of work, and participate in negotiations with external suppliers and service providers to establish the appropriate contracts for services and set standards for quality control.

Qualifications, Experience and Language skills

  • Advanced university degree in media, publishing, business or a relevant scientific area. A university degree with two additional years of relevant work experience may be accepted in lieu of the advanced university degree.
  • Seven years of working within a publishing/design environment, coupled with progressively responsible managerial experience preferably including international experience.
  • Experience in supervising staff in large and diverse operational areas in a deadline driven environment is essential.
  • Excellent oral and written command of English. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) is an asset.
