The British Embassy in Moscow is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for an Accommodation & Facilities Manager.
Main purpose of job:
The successful candidate will play a pivotal role within the multi-disciplinary Estates & Facilities Management services team, overseeing the UK Embassy’s accommodation portfolio in Moscow and Ekaterinburg. This position involves direct line management of an experienced operational team and working closely with colleagues across technical, plumbing, electrical, engineering, corporate services disciplines, ensuring cohesive teamwork and high-quality service delivery. The candidate will manage and coordinate estates related projects, from refurbishment to compliance upgrades, ensuring all accommodation and office facilities meet FCDO standards and health & safety regulations. Strong project management skills will be essential to plan, execute and monitor works efficiently, while maintaining close collaboration with internal stakeholders and external contractors.
The Accommodation & Facilities manager will be responsible for delivering high-quality property and facilities services to support UK-Based colleagues accommodation needs and to the wider Embassy community. The role requires strong organisational, financial and interpersonal skills, with a focus on proactive problem-solving and stakeholder engagement.
Roles & Responsibilities:
- Reporting to the Head of Estates and Facilities Management Services, you will manage the maintenance of a high volume of residential apartments across two compounds, maintaining an excellent standard of customer service.
- Lead on health & safety for the Russia Network, provide Secretariate duties for the Health & Safety and Fire committees, complete the mandatory (provided) Managing Safely course with the Institution of Occupational Safety & Health (IOSH).
- Undertake regular “Hazard Spotting” checks on both compounds and at least once per annum (as part of the Planned Preventative Maintenance checks on all residential properties, recording any near misses on the EVOTIX system and ensuring the Estates Team, act on any fire, H&S recommendations.
- Source, lease, prepare and furnish residential apartments for UK-based colleagues, ensuring suitability in accordance with FCDO guidance.
- Maintain accurate records of property management activities, including inventories, where necessary liaise with landlords, local authorities and external contractors to ensure service delivery.
- Oversee reactive tasks and ensure timely resolutions to planned maintenance and emergency works/repairs, including urgent repairs required by two office floors occupied by the Embassy of Canada.
- Manage the team of six labourers (S1 band), ensuring work schedules are accurate, including cover for both the Embassy and Residence compounds, especially during the winter for snow clearing and arranging overtime payments as appropriate. Encouraging suitable learning & development.
- Manage external properties rental payments via the FCDO Planon platform (training will be provided).
- Manage assigned procurement tasks as part of assigned facilities related projects and upgrades. Ensuring compliance with Procurement rules and regulations and working closely with the regional financial hub.
- Deputising for the Head of Estates & Facilities Management Services, providing leave cover and management oversight of Embassy contractor services such as cleaning, canteen catering, water supply and gardening, and managing the facilities and utilities local budgets allocation circa £1.58 M per annum, ensuring value for money.
- Support Post crisis response operations (as part of the logistics team) and undertake other duties as required by the Head of Estates & Facilities Management Services or the Director Corporate Services & Estates.

This is a full-time and permanent contract of 5 working days, 35 hours net per week.
The monthly salary for this position is RUB 148,696 gross, EO level, paid 13 times a year.
The successful candidate will be subject to professional background check and security clearance.
