The British Embassy in Abu Dhabi has a vacancy for a Corporate Services Assistant – Human Resources, grade Administrative Assistant on a fixed-term contract for one (1) year.
The jobholder will be responsible for human resources, Country Based Staff (CBS) on boarding, they will work closely with the Corporate Services Manager (CSM), Regional HR Hub, International Academy (IA), Community Liaison Officer (CLO), and local authorities to ensure effective delivery of this role.
Duties and responsibilities:
- Own, review, and update on-boarding, induction, and exit processes and documents, ensuring they are up to date and tailored to local needs.
- Ensure all HR processes at Post are consistently and fairly implemented at all times in liaison with the relevant stakeholders (Government Relations Office/ Regional HR Hub /Security/ Pay and Benefits).
- Be the central point of contact for all employee queries and cases relating to all HR processes.
- Own maintenance of personnel records, ensuring compliance with data protection and privacy legislation.
- Review the arrival and departure tracker, understanding the MS flows to ensure that information is smoothly sent to all concerned stakeholders.
- Regularly update hiring managers on stages of boarding.
- Review and update staff master list, ensuring that information flows from CBS/UKB tracker smoothly. Keep the MS flows up and running. Close engagement with the relevant stakeholders.
- Review all the letter templates in a timely manner and ensure that the automatic letter tool operates efficiently. Identify any discrepancies and rectify with the support of IT team.
- Organise and execute the corporate services induction for new joiners (CBS, UK Based Staff and spouses) along with other colleagues within Corporate Services and Post Security teams. This includes ensuring stock of new arrivals gift bags and having them ready for Induction timings.
- Manage and cascade all corporate communications in relation to HR matters (employee engagement surveys, wellness initiatives, appraisals, and learning and development offers); maintain all HR content on Post shared sites.
- Review of HR landing page, update all the relevant fields/sections.
- Support other members of the team as required and perform other related duties as required and assigned.
The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required, including participating in the Embassy’s emergency planning and any response to a crisis.

- Previous HR experience, either in the public or in private sector.
- Demonstrated ability and experience in an administrative support position, with excellent computer skills and in using MS Office programmes (Teams, Outlook, Word, Excel, and PowerPoint).
- Demonstrated initiative, adaptability, and the ability to work flexibly both in a small team and individually. Excellent team working skills, with strong ability to build co-operative working relationships across a large network, including external contacts.
- Ability to handle confidential employee issues/ information and interact with colleagues and stakeholders in a professional and sensitive manner at all times.
- Excellent communication skills in English, strong communicator (written and spoken) with an ability to influence at all levels. Able to express ideas and messages clearly and concisely.
- Excellent organisational skills, including ability to organise and prioritise workloads, organise records, meet deadlines and maintain close attention to detail.
- Strong interpersonal skills, self-motivated, results-driven and customer service oriented. Keenly aware of customer requirements and how to drive customer satisfaction.
- Experience with the Microsoft Power platform (Automate, Flows, SharePoint lists)

Working hours and remuneration:
The Embassy aims to offer an attractive working environment and remuneration package for this role, which includes 25 days of leave per annum (calculated pro-rata)
Salary is at AED 9,768 per month.
There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.
The Embassy is open from Monday to Friday, from 07:30 to 18:00. Conditioned working hours are 35 hours per week, and specific working hours for this role will be confirmed at a later time.
The successful candidate will be required to transfer their visa under the Embassy’s sponsorship.

Process:
The recruitment process, including security clearance, is expected to take around two-three months. The security clearance process includes checks available in country and with UK, dependant on the security level required for the role and the candidate’s profile and UK footprint. Appointable candidates who were unsuccessful at interview may be placed on a ‘reserve list’. If during the reserve period of six (6) months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.
The start date mentioned in the job advert is a tentative start date and the successful candidate will be required to undergo security-vetting procedures. Any offer of employment will be subject to the candidate achieving suitable clearances.
