The British Embassy Abu Dhabi has ten (10) vacancies for AO Admin / Entry Clearance Assistants under UK Visas and Immigration (UKVI). This is for a fixed-term contract until 31st August 2024
The jobholders will undertake a range of tasks in connection with the processing of visa applications. We are looking for flexible people, who work well in a busy environment. It is extremely important that jobholders are adaptable and show a willingness to undertake a variety of tasks operating to challenging targets.
Duties and responsibilities:
The Upload Team is responsible for a variety of support functions, which assist the wider visa section in the efficient processing of visa applications. This includes data entry, general administrative support, and assisting with the allocation of work. Uploading is critical to the efficiency of the operation. It is imperative the post holder sends the information to the correct place. A standard Operating Mandate is in place which the postholder will be required to follow when undertaking the activities described below.
Typical tasks include:
- Accurately entering data, including the amendment of biographical data as necessary.
- Linking and streaming applications according to data. The postholder will base decisions on a range of factors including workflow, location, age etc.
- The postholder will make decisions on what information they input into the system. They are also responsible for error identification and correction.
- Contacting applicants when additional evidence is needed in order to complete processing
- Assisting the management team and the wider Decision-Making Centre as required
- Monitoring and reporting the operational position
- Complete administrative duties within the Special Handling Unit including facilitation of special applications and addressing queries/complaints.
- Mentoring/Line Management
- Training and induction schedules for each mentee
- Leave management
- First point of contact for work related issues
- Performance monitoring and reporting
The Enrichment Team completes checks on applications and helps Entry Clearance Officers to make more informed visa decisions.
Typical tasks include:
- Undertaking document verification checks.
- The post holder will decide which documents to enrich and whether they can verify the information they are enriching, i.e. deciding whether is it inconclusive or false.
- The postholder will be required to decide whether they have sufficient information, if they don’t they will need to go online and source further details to check the veracity of the information provided
- Carrying out telephone enquiries
- Performing interpretation during visa interviews as necessary.
- Performing other enrichment activity to support decision makers.
Visa Writers are responsible for the printing and dispatch of visas.
Typical tasks include:
- Checking computer records to ensure accuracy before printing, e.g. checking the quality of endorsement codes and vignettes.
- The post holder will be responsible for prioritising their workflow taking account of whether a case is PV or SPV
- Liaising with colleagues and management upon identifying any problems
- Following the correct procedures for the issuing, revocation or cancellation of UK visas
- Supporting management and other teams as required
- Printing and dispatch of vignettes as required for the post holder’s current DMC or other DMCs as required. Ensuring vignettes are dispatched within set deadlines.
- Problem solving any hardware errors they encounter.
The above list is not exhaustive, and the job holder will be required to be flexible and take on other ad hoc tasks as required, including participating in the Embassy emergency planning and any response to a crisis.

Eligibility:
- Applications will only be considered from those who are currently residing in the UAE.
- Applicants must be available in a full time capacity to work on site at the British Embassy Abu Dhabi – these are not part time positions or available for remote working.
- Evidence of working effectively against demanding targets.
- Evidence of using your initiative for problem solving.
- A strong communicator with excellent spoken and written English. Ability to express ideas and messages clearly and concisely.
- Good working knowledge and previous experience of IT, including Microsoft Office applications (Teams, Word, Excel, Outlook).
- Work experience in a similar environment or a similar role may be an advantage..

Working hours and remuneration:
The Embassy aims to offer an attractive working environment and remuneration package for this role, which includes 25 days of leave per annum (calculated pro-rata).
Salary is at AED 12,581 per month.
There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.
The Embassy is open from Monday to Friday, from 07:30 to 18:00. Normal weekly working hours are thirty-five (35) hours per week, net of breaks.
The successful candidate will be required to transfer their visa under the Embassy’s sponsorship.

Process:
The recruitment process, including security clearance, is expected to take around two – three months.

Shortlisted candidates will be invited for an assessment and then a panel interview. Assessments and interviews will be done remotely if the existing situation determines this to be the right course of action.
The start date mentioned in the job advert is a tentative start date and the successful candidate will be required to undergo security-vetting procedures. Any offer of employment will be subject to the candidate achieving suitable clearances.
Appointable candidates who were unsuccessful may be placed on a ‘reserve list’. If during the reserve period of 6 months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.
