Main purpose of job:

BHC Canberra is at the centre of a five-post Australia Network (the other posts are Sydney, Melbourne, Perth and Brisbane). The network encompasses approximately 140 staff, with over 10 different departments represented on the overall platform. We are responsible for delivering across the breadth of the UK-Australia relationship, from security and defence to trade and prosperity, from consular and law enforcement to political and foreign policy, and from science and tech to agriculture and health, and more. 
This role sits within the High Commissioner’s Private Office alongside the Chief of Staff, Executive Officer, Visits & Events lead. The main purpose of this role is to provide administrative support to the Private Office, ensuring the smooth delivery of requests from the High Commissioner and wider office. This role is part-time.

Roles and responsibilities / what will the jobholder be expected to achieve?

  • Finance: responsible for ensuring accurate record keeping of the High Commissioner’s travel and miscellaneous expenses. Ensure expense reports are submitted on time each month with all transactions accounted for.
  • Inbox management: manage the general enquiries inbox, triaging requests and enquiries to the relevant teams across the network and responding directly when necessary.
  • Travel booking: book flights, accommodation, and other travel requirements as requested by the High Commissioner and Deputy High Commissioner. Maintain accurate records of these spends for transparency purposes.
  • Events: provide administrative support for events hosted by the High Commission. This may include: sending invitations, monitoring RSVPs and dietary requirements, and supporting the Events lead on operational delivery.
  • Other responsibilities as required: note-taking of meetings, setting up internal calls, ordering office supplies, as well as other ad hoc requests.

  • Financial literacy and experience with budget management
  • Proven administrative skills.
  • Experience using Microsoft Office
  • Strong organisational and time management skills
  • Ability to work under pressure to meet deadlines
  • A team player who is able to work flexibly as team priorities change
  • High degree of confidentiality.

Language requirements: 

Language: English 
Level of language required: Fluent 

  • Experience working with a diplomatic mission or government would be a benefit but not essential.

This role advertised is a Part-Time, Permanent role to be based in Canberra.

Salary is at AU$ 30,216 per annum (paid out monthly), plus 11% superannuation.

Appointment is subject to an AFP records check and UK security clearance.

Open to Australian citizens, permanent residents, and partners/ dependents of UK-based diplomatic staff currently posted in Australia.
