Main purpose of job:

Reporting to the Corporate Services Team in Canberra, this role is responsible being the first point of contact for resolution of local issues that fall under the corporate services remit in the British High Commission, Canberra or British Consulate General, Sydney.

The job holder will be responsible for providing high quality Corporate Services delivery across Australia Network, including procuring and requisitioning goods and services for Corporate Services.  The jobholder requires strong (written and verbal) communication and prioritisation skills, with agility in operating under ambiguity.

The job holder will also be providing support to the Lead IT Support Officer (ITSO) and assist in delivering operational and strategic ICT tasks in accordance with London IDD ensuring compliance, business resilience and business continuity, as well as regular systems, hardware maintenance, and repairs.

Roles and responsibilities / what will the jobholder be expected to achieve:

  • Proactive management of the office environment, ensuring safety of staff and visitors and management of office stationery and kitchen supplies.
  • Sign-post staff and line managers on key corporate policies and procedures.
  • Ensure FCDO health & safety policy, procedures, and systems are understood, implemented, supported, and monitored at the office and residential properties in Sydney.
  • Support a well-managed security environment at Post by working with staff to ensure that physical and information security procedures are understood and in compliance, becoming the liaison point for building management and CS in Canberra.
  • Upkeep of asset management/inventory of ICT equipment.
  • Rebuild laptops as and when delegated by the ITSO in Canberra and making sure all spare assets are updated on a monthly basis.
  • Provide IT support under the guidance of the lead IT Support Officer as necessary.
  • Provide logistical support for Sydney office ensuring value for money.
  • Support Information Management Officer by maintaining up-to-date Post Information Asset Register (IAR) to ensure that information assets are managed in accordance with official policy and guidance.
  • Project/research admin work.
  • Provide finance procurement and requisitioning duties as directed by network corporate services team.
  • Provide secretariat support for corporate services committee meetings and general administration tasks including meeting minutes, circulation of papers and agenda, filing etc as directed by the Head of Corporate Services.
  • Monitor and respond to the Australia Enquiry mailbox.
  • Assist other members of the Corporate Services team as required and ad hoc Corporate Services project work.

  • Ability to prioritise effectively in the midst of conflicting priorities and competing demands and follow through on tasks with limited supervision
  • Ability to interact professionally with key players at senior levels, both within and outside the Consulate-General
  • Excellent oral and written communication skills
  • Knowledge and understanding of Windows, Microsoft Office, Office 365, and MS Teams.

Language requirements: 

Language: English

Level of language required: Fluent 

  • Current clean driving licence
  • Qualifications in IT or previous work equivalence in IT
  • Experience in office administration

This vacancy is advertised as a full-time, fixed term role of 12 months to be based in Sydney.

Salary is at AU$ 75,540per annum (paid out monthly), plus 11% superannuation.

Appointment is subject to an AFP records check and UK security clearance.

Open to Australian citizens, permanent residents, and partners/ dependents of UK-based diplomatic staff currently posted in Australia.

  • In addition to the duties with this job normally entails, you may from time to time be required to undertake additional or other duties as necessary to meet the needs of the High Commission, including playing a part in the corporate life of the mission and supporting any crisis response.

Working patterns:

The British High Commission supports and promotes flexible working times but due to working with teams in the UK, there may be occasions for some calls to be outside of core hours.   Although flexibility arrangements and remote working can be catered for subject to line management agreement, due to the nature of the work main duties are office based. 

Normal working hours for full time employment are 38 hours p/w Monday to Friday

The overall package also includes the standard 14 days of public holidays that the UK in Australia Network all works to as well as 22 days annual leave.

The FCDO also operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
