Main purpose of job:

The British Embassy Bangkok is a large diplomatic mission of around 150 staff delivering a dynamic and rapidly expanding programme of activity in support of the UK’s objectives including on economic and sustainable development, trade, security, open societies, consular services and law enforcement. This is an exciting opportunity to join our diverse team.  

This role will provide administrative and project support to ensure that the Economic and Sustainable Development team can successfully deliver on a range of areas in the UK-Thailand Strategic Partnership, including economic and sustainable development, finance, digital, climate, energy and environment, science, and health.

This may include undertaking basic policy and contextual analysis, building your understanding and networks within assigned policy areas, and using these to inform UK policy positions and advocacy. You will leverage your organisational and relationship building skills to maximise the impact of the team’s work across our bilateral, multilateral, and regional goals. You will work closely with colleagues from across FCDO and His Majesty’s Government. 

In addition to logistic and admin support, this the jobholder may undertake basic policy and contextual analysis, building your understanding and networks within assigned policy areas, and using these to inform UK policy positions and advocacy. You will leverage your organisational and relationship building skills to maximise the impact of the team’s work across our bilateral, multilateral, and regional goals. You will work closely with colleagues from across FCDO and His Majesty’s Government. 

Roles and responsibilities / what will the jobholder be expected to achieve?:

Team administration (40%)

  • Provide administrative support as required, including with travel bookings, managing and scheduling meetings and events, Embassy visitors, catering, stationary and the induction of new team members.
  • Set up and manage team meeting appointments, contact guest speakers, and collate and share meeting agendas.
  • Request, collate and submit budget forecasting for team travel and subsistence, and business hospitality and events.
  • Input to Communications Team on internal communication (e.g. gathering contributions for the Embassy internal newsletter; coordination on external communications in conjunction with the rest of the team).
  • Team Learning and Development (L&D) Coordinator: Research and liaise with providers for team activities; schedule team L&D activities as required.
  • Support members of the team in arranging inward and outward visit by Thai and UK officials.
  • Act as a point of contact to assist on-site guest with security clearance.
  • Ensure that the ESD Team’s information is managed effectively in order to meet our business and legal requirements and to ensure we make the most efficient use of resources.
  • Work flexibly to provide administrative support to the ESD Counsellor and Deputy Head when necessary. Work as a team with the other ESD support officer to provide resilience during busy periods and provide cover for each other when on leave.

Events (25%)

  • Support delivery of events for ESD Team and ensure cross team working.
  • Work with thematic leads to design and deliver events/activities that maximise our influence and impact, responding to current challenges and utilising technologies to reach our audiences, whilst providing good Value for Money.
  • Lead and coordinate event logistics, including maintaining guest lists, sending out invitation, scoping and providing suggestions for venues, travel, and facilities.
  • Support event leads in undertaking evaluations. Collate learning from events to understand how we can improve delivery against objectives through future events.

Project administration (25%):

  • Provide project administration and management support for the delivery of UK’s sustainable development projects and programmes including timely procurement and payment process.
  • Support project delivery including conduct basic research and analysis on specific topic.
  • Assist project leads to organise workshop / activities as required; and to ensure timely delivery and that important milestones are met.
  • As with all UK programmes, follow project management principles as required by UK processes including to identify and mitigate risks.

Other (10%)

In times of peak operation demand, work flexibly within the Section and within the Embassy. All staff will be expected to make a corporate contribution to the smooth running of the British Embassy, either through a committee membership or another voluntary role.

Language requirements: 

  • Language: English & Thai
  • Level of Language Required:
    o    English: Excellent command of spoken and written English, equivalent to IELTS 7 or above.
    o    Thai: Excellent command of spoken and written Thai

  • Experience using financial management software
  • Experience of technical assistance projects/programme administration.
  • Experience working in an international organisation or multicultural setting, or studying or working abroad
  • Basic project management skill
  • Knowledge of MS Teams
  • Relevant professional or academic experience in sustainable development areas covered by the section

Learning and development opportunities (and any specific training courses to be completed):

The British Embassy Bangkok encourages all staff to develop their capabilities, through both formal training (courses) and informal (job-shadowing, coaching, on-the-job training etc.). The majority of our formal L&D opportunities are drawn from FCDO resources. All staff are encouraged to share their skills and experience with colleagues, through informal training (‘lunch & learn’) or coaching/mentoring. All staff are eligible for 5 L&D days a year.

Working patterns:

This is a full time role – 36 hours/week, Monday to Friday.

We are currently operating a hybrid working pattern with staff expected to work from the Embassy for 60% of their working week.

The Embassy has a smarter working policy and is committed to offering flexible working patterns balanced with the operational requirements of the role. In crisis/emergency situations you may need to work as required to support the Embassy response, sometimes on a shift pattern, which may result in unsociable hours and/or weekend working.
