Corporate Services Support

To work closely with Team Leader for Delivery Excellence and Corporate Services for the well-being of all staff at the Mission, with primary function as advocate for and provision of support to UK-based staff and families (FCDO and PAGs) on family and community issues, principally in the areas of information gathering, welfare and communication.

Roles and responsibilities:

Information gathering for UK-Based officers and their spouses/partners and families, and UK-Based on duty visits or deployment (including for those not yet in Maputo).  To include (where applicable) information primarily on spouse/partner employment at Post; children’s education (through completion of separate HR School and Nursery Information Sheets of authorised schools at Post); a comprehensive information pack on childcare at post; career and training opportunities; single officer and foreign-born spouse/partner issues; recreational facilities; social matters; and completion of FCDO Families Spouse and Partner Annual Employment Report.

Welfare at the Mission: welcoming all staff on posting/temporary duty/duty visits or deployment and accompanying families to ensure as smooth an integration as possible our BHC Maputo community; following up to check that the settling in process is working; being a source of referral and support where questions, problems and difficulties arise; providing short Post community induction. CLOs are not expected to be medically trained and have no medical responsibility.

Advocate for UK-based staff and families in addressing issues of importance with SLT and through the Post governance structures including Post Security Committee, Post Health and Safety Committee and Post Housing Committee.  Also, as the chief link between Maputo Post and the FCDO Families in London. 

Communicating effectively on community and social matters across the Mission to all staff and receive notification of staff arrivals/departures.  They should advertise details of FCDO Families career support services and courses to eligible UK-Based spouses/partners at the Mission.  Finally, the CLO is expected to establish some form of communication for staff and spouses/partners across the Mission, such as a WhatsApp group, in accordance with the FCDO social media policy.

Information management of the BHC Maputo Welcome Pack, CLO Teams site, input to update and review of the Post Report and Fact Sheet.  CLO should be accessible and able to provide information in areas including pre-Posting information, spouse/partner employment at Post; child and adult education, childcare, recreation facilities and training opportunities.

Management of domestic equipment float – storage, records, delivery and collections, as required.

Emergency Planning: the CLO must be aware of and involved in any BHC Maputo contingency and drawdown plans.   As part of this they must complete the Crisis Preparedness Management eLearning on GLO and have a role with Crisis Preparedness, usually Welfare.

All the above tasks require the CLO to have strong links with the Senior Leadership Team, relevant to FCDO departments and the FCDO Families’ London office.

·       Good organisational and inter-personal skills. 

·       IT literacy (proficiency in MS Word, Outlook and Excel) 

·       Good oral communication, team-working and self-management skills 

·       English speaker

·       Experience of managing inventories

·       Experience of working for a diplomatic mission or international organisation 

·       Portuguese speaker

All CLOs should attend the CLO course as soon as possible after completing probation to help them fully meet the demands of the job.

Working patterns:

The job is 16 hours per week.  The Working pattern is fixed with the Line Manager in advance and shared with team members and mission-wide.  Some flexibility is needed to meet commitments.
