Estates, Corporate Services Support

The British Embassy in Tirana is part of a worldwide network, representing British political, economic, commercial and consular interests overseas. We are currently looking for a Corporate Services Officer focussed on Estates. 

The Corporate Services Officer Estates will manage the operational delivery of estates, health and safety and transport work to ensure a safe and compliant platform for all staff. Supervise project works, maintenance and the arrivals and departures process.  Also they will manage Estate support staff, including outsourced resources.

Roles and Responsibilities

Estates Operations (50%)

  • Monitor and maintain a planned preventative works register and schedule/respond efficiently to reactive work requests in collaboration with the Estates Officer.
  • Acting as the initial escalation and contact point for staff queries.  Focus on effective customer service, ensuring that the estates team is providing a professional service in line with the post corporate services charter.
  • Deliver minor work packages, including technical drawings, contract documentation, as well as preparing and maintaining annual rent contracts.
  • Manage and maintain the arrivals and departure process. (March in and March out) 
  • Manage the vehicle fleet, including maintenance and replacement activities.

Compliance 20%

  • Manage inventory and warehouse stock.
  • Perform and document property inspections and hazard risk assessments for both residential and office estate in coordination with the Estates Manager
  • Ensure estates systems and data are maintained and verified on a regular basis.
  • Monitor energy and consumption and implement sustainability initiatives at post.

Health & Safety 20%

  • Work closely with Estate Manager to manage health & safety related issues, ensuring full compliance with FCO and local legislation.
  • Report any risks proactively to the Estates Manager
  • Deliver health and safety policy implementation, training and standards.
  • Be the appointed health and safety coordinator.

Team Support 10%

  • Assist other members of the Corporate Services team as required.
  • Participate in post crisis activity.

  • Fluency in English and Albanian, including good writing skills (written and spoken, minimum of B2 level in English and C level in Albanian according to CEFR framework*);
  • Working experience in estates/facility role 
  • Health & Safety regulations working experience/ knowledge
  • Customer service skills, high attention to detail, able to follow strict/complex procedures
  • Experience in overseeing maintenance teams
  • Driving License, Category B
  • Resilient; able to deal with pressure and work flexibility to deal with competing demands
  • Good command of MS Office, Exchange and Autocad

       

  • UK and local Health and Safety knowledge
  • University degree preferably in CivilElectrical engineering (not a must)
