Main purpose of job:

As part of a small flexible team, provide administrative and driver services for the British High Commission in Malé. This position will report to the Corpoate Services Manager (CSM).

Roles and responsibilities / what will the jobholder be expected to achieve:

Estates 60% 

  • Monitor estates correspondence and liaise with CSM to programme work requests and schedule/respond efficiently to reactive work requests.
  • Manage local contractors, operations, supplier performance, and maintenance activity.
  • Update CSM and the leadership team on estates matters, escalating as required.
  • Supervise projects, preventative and reactive works to FCDO standards.
  • Manage estates and British High Commission (BHC) inventory and stock.
  • To liaise with Global Property Support Services to ensure compliance to correct standards across complete estate.
  • To liaise with Estates, Security and Network Directorate on works and lease agreements.
  • Prepare for and respond to audit requests and annual compliance reports.
  • Work closely with CSM to manage health & safety related issues, ensuring full compliance with FCO and local legislation.
  • Report any risks proactively to the Corporate Services Manager.

Administrative 40%

  • Process incoming and outgoing diplomatic bags, cargo and shipments liaising with Ministry of Foreign Affairs, couriers and shipping agents.
  • Carry out messenger duties as required including delivery of documents and mail.
  • Liaise with local authorities for the movement of visitors by road, sea and air.
  • Support in the making of purchases ensuring value for money and coordinating deliveries.
  • Support colleagues in the set up of events, meetings and conferences.

Driving 20%

  • Provide a professional and efficient transport service to the BHC, in particular driving the High Commissioner, Deputy High Commissioner as well as other staff and visitors as required.
  • Conduct vehicle checks on a daily basis. This includes ensuring that the vehicle is secure, vehicle keys are locked away, and visual inspection spares and tools are in good order.
  • Ensure official vehicle is well maintained, clean inside and out, check for and report any defects.
  • Take vehicle for regular services or repairs and conduct pre-trip inspections before each drive.
  • Maintain an accurate record of all bookings, journeys, mileage records and fuel consumption/electric charging.
  • Provide and confirm journey information with passengers well in advance. Perform a pre-visit (recce) of the route for official visits where appropriate.
  • Adhere to traffic laws and regulations at all times.

Other duties but not limited to:

  • Ad hoc jobs as assigned by the High Commissioner, Deputy High Commissioner and Corporate Services Manager.
  • Support Post in a corporate role.
  • Participate in post crisis activity.

We are looking for someone who is proactive, enjoys flexibility and takes the initiative.

Estates as required, transport, fuel and service expenditure.

Language requirements:

Language:  English & Dhivehi

Level of language required:  Fluent in both, accurate in grammar and writing

This role offers opportunities for “on the job” learning, in addition to formal opportunities for learning and development, including access to a large range of online training opportunities and in-person learning.

Working patterns:

41 hours per week.

Flexible working, are common practice in BHC and are arranged in agreement with the team, line manager, High Commissioner and Deputy High Commissioner.

Essential on arrival:

  • Graduate/ Diploma with preferably 2-3 years of relevant experience.
  • Valid Maldives Driver’s Licence.
  • A good knowledge of Male/Hulhumale and traffic laws.
  • Driving experience of not less than five years.
  • Excellent organisational skills.
  • Strong interpersonal, problem-solving and time management skills.
  • Personal drive and ability to work both independently and as part of a team.
  • Able to communicate effectively to deliver results.
  • Confident in the use of a range of Microsoft and other IT applications

Desirable:

  • Experience in finance and estates management.
  • Any working experience in multinational organisations / diplomatic missions

For British High Commission (BHC) candidates, the Country Based Staff BHC Terms & Conditions will apply.

For other than BHC candidates, starting salary will be MVR 17,744 per month.

Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
