Who are we?
The British Embassy in Rome is part of a world-wide network, representing British political, economic and consular interests overseas. The Corporate Services section in Rome is recruiting for an exciting role of Corporate Services Assistant – Mail and Transport to help deliver its mission.
Main purpose of job:
The successful candidate will be responsible for the distribution of incoming and outgoing mail and parcels and will undertake driving duties as directed by the Transport Manager. They will also need to show flexibility to work across teams to support the Corporate Services section, and administer the stationery budget under the Finance Manager’s supervision.
Roles and responsibilities:
- Managing incoming / outgoing correspondence, including private couriers;
- Managing regular incoming / outgoing Diplomatic Bags liaising with UK departments;
- Preparing “border crossing” letters in English for lorry-deliveries from/to the UK, liaising with UK headquarters;
- Lead on purchasing, managing and supplying stationery for the two Embassies in Rome and the Rome Residence;
- Ordering and managing stationery within set budget;
- Oversee and arrange large volume printouts e.g. invitation cards, booklets, leaflets, posters, branded gadgets, business cards;
- Oversee and arrange for maintenance of photocopy machines in the office;
- Services to the Post Office, such as deliveries and payments of “Conti Correnti”;
- Use of official corporate card for purchasing goods;
- Contribute to the logistics and delivery of high-level visits, including driving schedules;
- Supporting the Consular Team with urgent private courier deliveries including for “lost properties”;
- Support on transport requests (e.g. services to local government offices, Artificieri post office) including during ministerial visits.

Our ideal candidate shows:
- Highly developed front-line customer service skills acquired in a business environment, with a clear commitment to excellent customer service;
- Full written and spoken proficiency in Italian at a minimum C1 level (according to CEFR*);
- English at a minimum B2 level (according to CEFR*), although a higher level is desirable;
- Driving licence free of endorsements and at least 5 years experience;
- Good IT literacy, particularly with the Microsoft Office package (MS Teams, Excel);
- Ability to respond flexibly to changing priorities, including some flexible working;
- Good communication and interpersonal skills, including the ability to engage with different stakeholders;
- Strong interpersonal and collaborative skills.

This is a full-time temporary position with a twelve month contract, which may be extended subject to performance and funding. The job is graded AA according to the FCDO grading structure. The monthly gross salary is Euro €2,349.00. The salary is paid monthly 14 times per year including Euro €10.33 EDR paid 13 times per year, with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata. Working hours are 35 hrs (net) per week Monday to Friday typically from 08:30 – 16.30, with some flexibility required. This role requires regular presence in the office.
The appointment is subject to security clearance, professional background check and the successful completion of a 4 month probationary period. The starting date may be delayed depending on circumstances at the time and this will be agreed with the selected candidate.
The Embassy is part of the UK Foreign and Commonwealth Development Office (FCDO). We work in a fast-paced international environment, dealing with internal and external stakeholders with different level of seniority; high adaptability to change is a key feature for this role. We work closely with other UK Government Departments based at the Embassy as well as the British Embassy to the Holy See and the British Consulate General Milan.
All staff employed by the British Embassy in Rome are subject to Italian income tax rate deductions (IRPEF). However the administration of these tax payments will vary depending on nationality.
The successful candidate will be enrolled in the Italian State Social Security Scheme. Staff recruited locally by the British Embassy in Rome are subject to terms and conditions of service according to local Italian employment law.
The Embassy will be closed on a number of British and Italian public holidays. Holiday falling on a Sunday may be compensated with an extra day normally added to the list of public holidays.
Visa / Passport requirements:
Candidates must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract. If requirements change additional eligibility information will be shared during the recruitment process.
