The British Embassy in Bucharest is part of the United Kingdom’s world-wide diplomatic network, and represents British political, economic and consular interests in Romania. The Embassy is now looking for a Corporate Services Assistant. 

The Corporate Services Assistant  will be reporting to the Corporate Services Officer and providing support to the Corporate Services Manager in the provision of an efficient, effective and standardised delivery of Corporate Services functions, thereby supporting the British Embassy’s Country Plan in its role of promoting British Government policies and values in Bucharest. This is an exciting and dynamic role where the Corporate Services Assistant will provide a full range of financial, procurement, HR and Payroll support.

Roles and responsibilities

FINANCE AND PROCUREMENT (60%)

  • Invoice batch processing.
  • Oracle requisitions and requests for supplier set up and maintenance, DS creation/maintenance.
  • General Oracle housekeeping that contributes to high financial performance indicators. 
  • Support to Corporate Services Officer on VAT (TVA) returns and liaison with suppliers.
  • Purchasing with Corporate Procurement Credit Card.
  • Preparation of elements of cash accounts.
  • Initial point on contact on procurement matters, providing basic advice and assistance.
  • Maintenance of Staff record files in accordance with Data Protection for use in salary preparation and for local law compliance.
  • Deputising for absences of the Corporate Services Finance Officer, including cashier duties.
  • Mobile phone records and administration of billing.
  • Receipt, storage and control of stationary.
  • Support to Corporate Services Officer on various finance aspects on request.

 PAYROLL AND HUMAN RESOURCES MANAGEMENT (40%)

  • Support to Corporate Services Officer on monthly salary preparation and HR & payroll activities on request.
  • Administration of local staff labour medicine and liaison with the medical services supplier.
  • Producing and issuing Identity Badges.
  • Quarterly update of Embassy staff list and regular update of the extension list and the Whatsapp Crisis Group.
  • Liaison with HR & payroll provider on various issues following Head of Corporate Services/Corporate Services Officer instructions.
  • Liaison point for security guards regarding handling difficult Switchboard calls.
  • Support to Corporate Services Officer on various payroll and HR aspects on request

     

     

     

    • Full professional proficiency in Romanian and English (written and spoken, minimum of C1 level according to CEFR*);
    • At least 2 years’ experience in financial management; 
    • Excellent customer service skills; 
    • Experience in managing teams; 
    • Resilient, able to deal with pressure and work flexibility to deal with competing demands;
    • General knowledge of Romanian HR policies of at least 2 years;
    • Organised and ‘can do’ attitude. 
    • Proficient in MS Office suite 

    Experience working with Oracle systems.

    This is a fixed-term 2-year contract with the possibility of a permanent contract subject to performance and funding.

    This role is a full-time job for net 35 hours per week. Working hours are flexible and staff are entitled to time-off-in-lieu for agreed extra hours worked.

    Monthly salary is 5,136 RON gross (salary is not negotiable). Whilst the Emergency Ordinance 79/2017 is in place the job holder will receive a gross monthly compensation bonus of 1,027 RON. In addition, staff are entitled to a 13th month salary pro rata and may receive a performance related bonus at year end. Staff also receive meal vouchers and a monthly subscription to a medical centre. 

    The successful candidate will be subject to confirmation of a background check and security clearance, and satisfactory completion of a probationary period of 30 working days.

    The annual leave entitlement is 25 days per year pro rata and the Embassy also enjoys a maximum of 14 Romanian / UK public holidays per year.
