An Overview:

The British Embassy in Ljubljana is part of a worldwide network, representing British political, economic and consular interests overseas and is now looking for a Corporate Services Assistant & Security Officer (CSA&SO) (including Community Liaison Officer[CLO] and Wellbeing Officer).

The CSA&SO will support the Corporate Services Team by covering the CLO as well as Wellbeing Officer responsibilities and undertake CS tasks on Health & Safety(H&S) on estates and other administrative tasks as necessary. The jobholder will perform key security functions under the guidance of the Post  Security Manager, particularly as the security presence and receptionist at the Embassy reception during working hours.

The role entails:

CORPORATE SERVICES – CLO:

  • Provision of user-friendly information on how to access medical and dental care services.
  • Advice on schooling and kindergarten provision in Slovenia.
  • Responsibility for Post Hub, including first drafts of updates and point of contact for Post Hub team in FCDO.
  • Updating the arrival and departure guidance for UKB officers and families.  Advice on banking, tax, mobile phone provision and other key issues.
  • Wellbeing officer – provide advice to colleagues on all Wellbeing issues.

 CORPORATE SERVICES – FIRE AND H&S: 

  • Fire warden duties (Checking the fire equipment, alarms, generator), briefing all staff on evacuation procedures.
  • Fire safety responsibilities on the all accommodation and office space (smoke detectors, fire equipment, advice to staff and other tasks).
  • Report any risks proactively to the Corporate Services Manager.
  • Work closely with Corporate Services Team to manage health & safety related issues, ensuring full compliance with FCO and local legislation.

 OTHER TASKS: 

  • Participate in post crisis activity. 
  • Administrative support to Post Crisis Committee.
  • Updating and reviewing Geographical Expenditure Guidance.
  • Support other colleagues within Corporate Services as and when necessary.

SECURITY:

  • Managing the main telephone switchboard.
  • Establishing first contact with visitors, checking identity, directing them towards colleagues, waiting room or giving other relevant information. If visitors entering the embassy premises do the security checks of the visitors.
  • Weekly checks of fire, security and incident alarms.  Responding to the Embassy or residence alarms.
  • Complete a visual and detailed check of all mail and sending mail on a daily basis.
  • Carrying out the information briefing on H&S and security procedures for all visitors.
  • Security checks at the residence as required.
  • Backup driver duties (covering for the driver in the afternoon/evening and covering during absences -sick leave, annual leaves etc)
  • Additional help at events: checking the invitations and other security tasks.
  • Accompanying contractors in the Embassy and on UK-Based accommodations.
  • Regular visits to other UKB accommodation (checking security, H&S, flushing water outlets, checking for the water spills and any other damage, ensuring that is visible that the property is being regularly checked and reporting any observations).
  • Preparing regular reports on security and other requested reports.

Our ideal candidate will have:

  • Proficiency in written and spoken English (C1 level according to the Common European Framework of Reference for Languages).
  • Proficiency in written and spoken Slovenian (C1 level according to the Common European Framework of Reference for Languages).
  • Valid driving licence category B with a clean driving record.
  • Computer literacy across range of Microsoft Office Package.
  • Knowledge of Security and Health & safety processes.
  • Previous professional experience in the security field.

Good to have:

  • Good organisational and communication skills, as well as the ability to make independent decisions.
  • Availability to work mainly in the security field, but also able to work in other fields of supervision, maintenance etc.
  • Strong team skills, working closely with the wider team to deliver events that meet cross Embassy goals in innovative ways.
  • Experience in working in a security position with Slovenian government organisations, diplomatic missions and other similar organisations.
  • Experience with working with mail scanners, hand held metal detectors, metal detector arches.

This is a full-time, fixed-term position of 40 hours gross per week for 12 months to cover for a maternity leave, with the possibility of renewal by mutual agreement.

The successful candidate will be subject to professional background, security clearance and a probation period of 6 months probation period.

Candidate must have pre-existing work authorisation for Slovenia in order to apply.

Staff recruited locally by the British Embassy in Ljubljana are subject to Terms and Conditions of Service according to local Slovenian employment law.

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Slovenia and be prepared to ensure that right remains throughout the scope of the contract.

We are intending this to be a full-time role. The vast majority of this will take place in normal working hours but occasional out-of-hours or weekend working may be required. (We aim to minimise this wherever possible. Where it cannot be avoided, we aim to plan this ahead of time; to respect personal circumstances; and to compensate with time off in lieu.)

The job cannot be done fully remotely, but we are open to proposals for flexible working – for example altered working hours or working from home 1-2 days per week. Many colleagues have worked from home for the majority of the pandemic period.
