This position has key responsibilities for effectively managing embassy estates, health and security, security, transport, consular cases and oversight of the embassy’s operational budget.
On estate management, the jobholder will be responsible for the new embassy premises, Ambassador and Deputy Ambassador’s residence, ensuring that health and safety standards comply with FCDO regulations. On post security, the job holder will act as the Post Security Manager supporting the Post Security Officer and Regional Overseas Security Manager in the delivery of effective security measures at the embassy and UK-based staff residential properties. The jobholder will have oversight and responsibility of the embassy’s operational budget and be responsible for the procurement of goods and services. He/she will also provide financial summaries and forecasts for operational spend. The jobholder will manage a range of consular cases effectively in consultation with the Consular Regional Manager (based in Accra) and in line with FCDO consular guidance on transport, the jobholder will be responsible for organising the maintenance of the embassy’s x3 official vehicles and line managing 3 drivers.
Finance Officer
- Responsible for monitoring the embassy’s non-pay budget, completion of monthly financial summaries and Network Post Account.
- Work with Corporate Service Manager (in Dakar) and embassy’s Senior Management Team to implement high-quality financial management of public money and ensure effective compliance to guard against risks of fraud.
Post Security Manager
- Support the Deputy Ambassador and Regional Overseas Security Manager (based in Rabat) in the consideration, planning, and operation of physical security measures at the Embassy, overseeing these measures at the Embassy and UK-based residential properties and managing day-to-day access issues as they arise.
- Manage the contracted guard force and main point of contact for guard contractor, acting as the initial escalation and contact point for embassy staff and contractor issues
Estates Management
- Monitor and respond to estates work requests for the embassy office and x2 UK Based Staff residences in compliance with FCDO regulations
- Main point of contact for estates contractors, acting as the initial escalation and contact point for embassy staff and contractor queries
- Supervise projects and preventative/reactive maintenance works
- Support the Deputy Ambassador on work on the embassy refurbishment due to be completed in spring 2025
- Contract management, work with Deputy Ambassador to prepare and maintain annual maintenance contractors
- Responsible for monitoring the embassy’s maintenance budget and achieving value for money
- Keep an up-to-date inventory of embassy assets, in line with FCDO policy
- Work closely with Regional Technical Lead and Technical Works Supervisor to manage health and safety related issues, ensuring full compliance with FCDO policy
- Health and Safety and Fire Safety Manager for the Embassy
- Co-ordinate visits from technicians
Transport Manager
- Manage x3 S1 embassy drivers
- Oversight of maintenance and procurement of replacement parts for x3 official embassy vehicles
- Supervision of transport logs, including fuel management that complies with financial requirements.
Consular Officer
- Manage a variety of consular cases in line with UK Government consular policy.
- Assist the Deputy Ambassador with crisis planning requirements and activities
