Who we are:

The British Embassy in Budapest is part of a worldwide network, representing British political, economic, commercial and consular interests overseas and we are seeking to recruit a dynamic Corporate Services Manager.

What we are looking for:

This is an EO role focused on supporting the Head of Corporate Services (HCS), and deputising in HCS’s absence. Our Corporate Services Manager is responsible to ensure the day-to-day delivery of Corporate Services’ objectives, provide services in HR, finance and related procurement for Budapest staff, and support the wider UK Based community. By doing this the selected candidate will also have an important role in supporting the British Embassy’s Country Plan and in promoting the British Government policies and values in Hungary.

Main responsibilities will include:

HR 35%

  • Concluding employment contracts with new staff employed in Hungary;
  • Managing the registration, induction and departure arrangements for staff employed in Hungary, working with internal and external stakeholders;
  • Calculations for monthly staff salaries for staff employed in Hungary, and working with an external provider;
  • Sick leave and holiday entitlement monitoring of staff employed in Hungary;
  • Supporting the introduction of new members to the Embassy:
  • Managing personal files and HR information related to staff employed in Hungary;
  • Arranging the annual occupational health checks for staff employed in Hungary;
  • Performance Related Pay arrangements for staff employed in Hungary including the calculation of payments, associated communications, managing employee card benefit scheme;

 Finance 30%

  • Budget holder responsibilities of official funds related to staff costs such as salaries, travel, training and clothing allowances;
  • Review and authorisation of official payments in accordance with policy guidance;
  • Ensure accurate and timely reconciliation of local bank and cash accounts on a monthly basis;
  • Liaison with the Embassy’s external payroll advisor on salary and other statutory matters, salary/casuals calculation check.

Procurement 15%

  • Ensure procurement tenders for the Embassy are carried out in accordance with central policies and provide value for money;
  • Lead on contract management & sponsorship admin (contract/debit notes etc);
  • Negotiations with local hotels on rates and update of the Embassy internal guidance on this;
  • Manage & monitor the Embassy’s agreed supplier list working with the central procurement team;
  • Manage the Resource Management system (Oracle based) purchasing hierarchy at Post;
  • Approve requisitions, supplier set up and other local procurement process on the Embassy’s Oracle based ERM software;

Office administration and management 20%

  • Line management of one staff member;
  • Day-to-day administration of the section including ensuring information is stored efficiently in both electronic and paper format, and ensuring the accurate and timely collation, processing and reporting of information as required;
  • Regular and timely updates of key staff guidance including the Post Hub, Welcome and Induction packs, and local post policies;
  • Secretary to the Embassy’s Post Housing Committee;
  • Deputy Fire Safety Manager, Health & Safety representative and member of the Embassy’s Health & Safety Committee;
  • Cover for the Head of Corporate Services and other team members during absences;
  • Approving CCC expenses and leave/sick leave applications on Oracle based system, in line with guidance;
  • Liaison with the Commonwealth War Graves Commission (CWGC) centre.

  • Minimum of 3 years’ experience working in HR administration or in a customer solution focused environment;
  • Experience in HR related processes within a Hungarian entity;
  • Advanced written and spoken proficiency in English and Hungarian (C1 level or above under the Common European Framework of References for Languages*);
  • Good working knowledge of MS applications including Excel, Word and Teams.

  • Further or higher qualification in Management, HR, Administration studies or similar;
  • Previous experience of an Oracle based finance and HR system (or similar);
  • Finance or forecasting/budgeting experience (financial acumen);
  • Experience of Health and Safety practices and processes.

This is a full-time position, 35 hours net per week, for a 2-years fixed-term contract which may be extended by mutual agreement.

The British Embassy Budapest has a strong commitment to work/life balance. Standard office hours are 09:00 -17:00 Monday to Friday with the possibility of flexi-hours within the opening hours 8.00-18.00. We also have mobile technology and offer hybrid working with remote working days to be agreed with line managers.

The successful candidate’s start date will be subject to confirmation of a background check and security clearance. You must have pre-existing work authorisation for the country in which this position is available in order to apply.

Staff recruited locally by the British Embassy are subject to terms and conditions of service according to national employment law of the country in which the vacancy is available.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in the specific country that the position is available and be prepared to ensure that right remains throughout the scope of the contract.
