Who we are:

The British Embassy in Tirana is part of a world-wide network representing British political, economic and consular interests overseas and now is seeking a Corporate Services Officer- Accountant and HR. The main purpose of the job is to support a diverse range of stakeholders on financial matters.

The jobholder will closely work with the Finance and Procurement Manager and HR Hub to ensure effective delivery of this role. 

 This position is a full-time, fixed-term (duration of maternity leave) contract.

 

 What the role encompasses:

 Accounts 50% 

  • Responsible for compliance with financial procedures including Distribution Sets, Invoices, Debit and Credit memos, Miscellaneous Receipts and Network Post Accounts, including correctly accounting for spend and reducing the risk for fraud.
  • Receive, review and submit invoices to the processing team; investigate problem invoices and resolve within deadlines provided.
  • Monitor and where required highlight or escalate key performance indicators.
  • Act as local contact for invoices and local payments.
  • Monitor cash and bank account and liaise with Processing Team on unreconciled items.
  • Responsible for cash box, including maintenance of balance, administration and monthly count.
  • Prepare recharges, manual invoice requests, cash-in transit forms and cheques at Post.
  • Identify and report potential inefficiencies.
  • Respond to queries from Senior Management, Processing Team and Finance Hub on transactions.
  • Manage relationship with local bank, including preparation of cash funding profiles.
  • Responsible for Partners financial matters, including payments, invoices and spend summaries.

 

Payroll 20% 

  • Calculate and process monthly salaries of Country Based Staff, including all relevant monthly/yearly statements.
  • Prepare statutory returns to local authorities, including social protection allowances, recoveries etc.
  • Ensure compliant Corporate Services finance record retention at Post.
  • Administration of CBS Health Insurance.
  • Working with the HR Hub, review benefits and allowances on a bi-annual basis to ensure value for money.
  • Provide data and support for local pay processes.

 

Human Resource 20%  

  • Provide support to senior management on HR policy, operations, employment terms and conditions, working closely with HR Hub.
  • Ensure country based staff terms and conditions of service are compliant with local employment law.  Ensure global local staff policy is followed (including global minimum standards)
  • Own the Country Based staff charter in conjunction with Country Based staff association.
  • Working with the Corporate Services Manager, review and update on-boarding and exit processes and documents, ensuring they are up to date and relevant.  Tailor induction to local needs.
  • Manage local recruitment schemes including interim personnel pool and internships.

 

Team Activities 10%

  • Manage and update content on Corporate Services systems.
  • Support other colleagues within Corporate Services as and when necessary.
  • Participate in Post crisis activity.
  • Work with teams and leadership to feed into Hub co-ordination work.
  • Act as back up for the Admin Assistant.

 

Our ideal candidate will have: 

  • Proficiency in written and spoken English and Albanian(C1 level according to the Common European Framework of Reference for Languages).
  • Experience in Finance and administrative work in a similar environment.
  • Excellent hands-on knowledge of MS Excel and other MS Office programmes.
  • Good analytical and team-working skills.
  • Ability to multi-task and support multi-faceted teams in a shared corporate services environment.
  • Precision in implementing tasks, meticulous attention to detail.

 

It will be a plus:

  • Bachelor’s degree in Finance, Accounting Business Administration or related field.
  • Ability to effectively communicate with internal and external stakeholders, verbally and in writing.

This is for a full-time employment, on a fixed term basis for the duration of the Maternity leave. The gross salary per month is ALL 134,826.00.

This is a full-time position of 5 days (36 hours net per week). The Embassy’s working hours are from 08.30-17.00 Mon-Thur and 08.30-14.30 on Fridays.

The Embassy provides Private Health Insurance for the member of staff.

No accommodation and relocation expenses are payable in connection with this position.

The successful candidate must have the right to live and work in Albania.

Please note that staff members are responsible for paying any income tax required by local law.

The successful candidate will be subject to professional background check, security clearance and a probation period.

The British Embassy does not facilitate/sponsor visa applications and work permits. Staff recruited locally by the British Embassy in Albania are subject to terms and conditions service according to Albanian employment.
